High levels of client service and client satisfaction are the main focus of the role; helping to meet the expectations and requirements of the client and Beaumont Business Centres Ltd.
You play an important role in providing the first impression for the Business Centre and Beaumont, as well as the client Companies.
The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.
Key Responsibilities
Reception Services
- Service to be provided and managed to ensure it meets the business needs of the clients
- Receiving clients at the front desk by welcoming them and managing the sign-in procedure
- Notify clients of visitor arrival
- Issue permanent, temporary and visitor access passes
- Key issue and control
- Switchboard operation to receive and transfer all incoming calls in an overflow situation
- Receive, co-ordinate, and monitor all requests for services assistance
- Provide up to date progress of requests
- Record outcome and response times to requests
Conference and Meeting Rooms
- Manage bookings and enter onto the workspace management system (Centre Charge)
- Manage any catering/refreshment requirements
- Communicate any audio-visual equipment requests
Postal Services
- Ensure that all post received is sorted and hand delivered for each client company
- Ensure that all post in relation to outgoing is franked and stamped ready for collection
Courier Services
- Arrange small packages and items of urgent mail for clients via the courier supplier
- Record all items into the client account on Centre Charge
- Receive incoming courier deliveries for clients and ensure sign off
Client Services
- Build and maintain client relationships
- Deal with all client enquiries and taking action in a timely fashion
- Secretarial and administrative duties as and when required
General Administration
- General filing, word processing, delivery notes, purchase orders and any other administration required for the role
- Ensure stationary and any other resources are available for the day to day running of the Centre
