Purpose of the role
The Office Services Operator is responsible for delivering a first-class experience to our clients within the office. The role-holder is responsible for the accurate completion of all tasks, delivered within the agreed service levels agreements. This is a hands-on role and supports the Team Leader and rest of the team in managing the workflow.
As an Office Services Operator you will work along one teammate performing mail services, reprographics, and general administrative duties. Prior experience in print and reprographics is required. The ideal candidate would possess experience in these areas with a strong preference to those who have worked in the legal sector.
Key responsibilities
Additional tasks may be requested as required by management or the client.
Post duties:
- Opening, sorting and distributing of all incoming mail following the mail procedure
- Process outgoing couriers using various online courier vendors
- Use of the franking machine to dispatch mail by Royal Mail
- Complete scheduled mail runs
- Navigate all areas of the client building when required
Reprographics duties:
- Assisting with all photocopying, printing and scanning requests
- Finishing documents using mainly wire, comb and two hole punch
- eBible creation including hyperlinking and pagination
- Ability to carry out delegated functions and tasks
- Performing all quality checks in procedures and accepting constructive feedback from clients, team members, Team Leader, and Account Manager
Ad hoc duties:
- Input of client expenses data into Chrome River
- Assisting with movement of boxes around the office
- Replenishment of paper and stationery around the floors
- Highlighting stationery requirements to the team leader
- Helping to maintain the general tidiness of the office, neatness and cleanliness of the Printers and MFD’s, ensuring that paper left on table tops and photocopiers is securely disposed of and boxes and stationery items are neatly secured and stored away
- Reporting any health & safety concerns to maintain a safe working environment
Key competencies
- Prior experience in print and reprographics is required
- Excellent customer service skills
- Excellent PC skills including proficiency in Microsoft Office and Adobe
- Good time management skills, with a focus on maintaining regular service, support and supply
- Maintaining a helpful, enthusiastic approach to the job, even though some aspects of it will be labour intensive and repetitive
- Delivering an excellent service to the company
- Expressing and displaying a willingness to learn; to understand all processes and activities onsite to ensure consistency of service in times of absence
- Consistency, accuracy, diligence and attention to detail
- Effective communicator
- Prepared to assist the client within their facilities department with physical labour including office moves, office furniture and equipment relocation
- Willing to take on responsibility and grow in the role
- Experience of working within a corporate environment, with a particular preference to the legal sector
- Flexibility to work shifts between 8am and 8pm and undertake overtime when required
