Job description

Our client is a manufacturer and distributor of commercial & Industrial machines through direct and indirect channels in over 70 countries worldwide, and we are seeking an French or German speakingSales Order Administrator to join their small & busy international sales office in the Hedge End area.

This is an exciting time to join the business as they grow and expand their operations further with an addition of a French or German speaking Sales Administrator.

The role

Reporting to the Operations Director you will be applying your excellent customer service skills to provide our customers first line support from enquiry, order processing, through to dispatch and delivery, plus provide aftersales and service support.

Working in a team you will liaise with a number of internal departments, suppliers and transport agencies to ensure the right information is provided in a timely and efficient manner.

Main Duties & Responsibilities:

  • Develop a good knowledge of the product and accessories to have valuable conversations with customers and ensure the right support and information are offered to customers, also to cross-sell and upsell.
  • Work with all internal departments to build trusting relationships and to ensure the right information is passed to customers, including production, supply chain, engineering and marketing.
  • Respond to enquiries in a timely manner which will come into the business via phone and email.
  • Provide customer quotes and follow up as required.
  • Process orders accurately onto our ERP system, liaising with production and supply chain to ensure details of availability whilst keeping the customer informed.
  • Source quotes and confirm bookings and shipping requirements with transport couriers.
  • Prepare shipping and arrange for export documentation to be included ensuring any labelling and packing requirements are adhered to. Some shipments may include Dangerous Goods Documentation. Once complete check courier's invoices and follow up on any discrepancies.
  • Issue customer invoices and liaise with finance on customer payments. Resolve any invoice/payment queries between customer and internal finance team.
  • Manage and respond to after-sales enquiries, including but not limited to returns, technical advice, complaints, warranties, credits etc
  • Manage service requests, keeping customers informed and follow up activity is conducted.

Skills & Experience required:

  • Experience within a Sales/ Account management or order administration environment
  • Well organised, accurate, articulate, and able to prioritize workload under pressure to meet deadlines
  • Fluent in written and spoken English and French ideally, German or Spanish also considered
  • A flexible, adaptable, enthusiastic, and pro-active attitude
  • Have the ability to work on one's own initiative, with minimum supervision and able to manage multiple tasks and workload
  • A good team player, capable of operating in a multi discipline environment
  • UK, EU and Export knowledge preferred, but training can be given (inhouse & with Hampshire Chamber of Commerce)
  • Excellent Customer Service Skills and confident telephone manner with good verbal, written and listening skills
  • Ability to communicate & relate to people on all levels
  • Proficient in MS Office and ERP software and general administration

The ideal candidate will be fluent in both English & French or German with a Sales Administration or Account Management background.
