Job description

Job Title: Scheduling Operations Planner

Basis: Temp Ongoing

Hours: 37.5 Hours

Type: Full-time

Location: Yeovil, BA22

Work Pattern: Mon - Fri | 08:30am - 16:30pm

Reporting to the Scheduling Operations Supervisor, the Scheduling Operations Planner strategically plans and coordinates daily activities for trade operatives. The role ensures precise allocation of responsive works to the right trades, locations, and timelines. Key responsibilities include optimizing diaries, minimizing travel, enhancing productivity, reducing costs, and maintaining excellent customer service. Health and safety, along with vulnerability considerations, are prioritized. Collaborating with various teams, the role aims to deliver a seamless service and continuously seeks opportunities for process improvement and innovation.

Key Duties and Responsibilities:

  • Actively oversee multiple diaries, monitor start and finish times, ensuring completion of all jobs/tasks by the end of each working day.
  • Utilise available resources efficiently by reallocating scheduled jobs among trades, optimizing each operative's output to achieve a right-first-time approach.
  • Deliver outstanding customer experience for residents, ensuring fulfillment of response repair needs.
  • Manage unscheduled jobs, emergency repairs, and overdue services according to the service level agreement (SLA).
  • Handle inbound and outbound phone calls and emails from operatives, contractors, customer experience teams, and residents. Resolve queries and confirm appointments professionally.
  • Arrange and book follow-on appointments with customers for multi-visit jobs. Liaise with suppliers and contractors to organise material deliveries.
  • Attend to "flagged" properties based on customer needs/vulnerabilities, ensuring operative safety.
  • Undertake regional-specific administrative duties, including updating job stages, utilising reports for scheduling tasks, monitoring and processing emails and CRM contacts, outsourcing to contractors, and monitoring purchase orders and materials for successful repairs.
