Job description

Senior Facilities Administrator Winchester/Hybrid Full-time, Monday - Friday 37 hours per week 16 per hour, 6 Months+ contract Hampshire County Council are looking for an experienced admin to join their Facilities team to support the general day to day work load and duties within the business.
General management
  • Work as part of Facilities Management Team to support service development and improvement based on a sound understanding of the business requirements.
  • Manage and coordinate the administrative/technical requirements for FM.
  • Coordinate with a remote administrative team with a focus on collaboration, consistency and good communication.

Customer Focus
  • Identify and / or acknowledge business changes and anticipate the associated internal and external customer demands.
  • Promote a culture that welcomes customer feedback to facilitate continuous improvement.

Planning and Implementation
  • Lead and personally deliver administration support for high level or complex tasks and project work using PowerPoint/ databases/ Excel/ Word and other bespoke or Microsoft O365 packages.
  • Liaise with other managers (internal and external) to ensure the effective coordination and running of various management meetings, including setting agendas, minute taking, follow up actions across the service as required.

Person Specification

Essential Qualifications, Knowledge, Skills and Experience:

  • Relevant experience that you can demonstrate.
  • Strong problem-solving skills with a proactive, positive attitude and ability to think creatively.
  • Experience in actively contributing to projects or developing solutions and service delivery options.
  • Excellent communication skills both written and oral, together with high level interpersonal skills and can clearly demonstrate the ability to challenge and influence others.
  • Strong organisational skills and the ability to work under own initiative.
  • Sound knowledge of effective administration systems and procedures.
  • Experience in the preparation of reports, agenda preparation and minute taking for senior management.
  • Extensive experience of using and managing IT systems to an intermediate/advanced level including Microsoft O365 products - Word, Excel, PowerPoint, Outlook, SharePoint.
  • Evidence of delivery in a continuous improvement culture, with a 'buy in' to reviewing and evaluating current performance and seeking improvements.
  • Experience in managing, processing and troubleshooting financial accounts and transactions.
  • Demonstrable flexibility as you may be asked to support in a variety of FM areas.
