We are seeking a highly skilled and organised individual to take on the pivotal role of Senior Clinical Secretary/Personal Assistant at a world-leading veterinary.
As the heartbeat of the administrative operations, you will play a crucial role in supporting the Clinical Director and Hospital Director, contributing to the seamless functioning of the renowned veterinary institution. You will work closely with a team of Specialists and line manage 2 Clinical Secretary's.
Responsibilities include:
For the PA Role:
- Efficiently manage Clinical Director and Hospital Director diaries.
- Coordinate travel arrangements for clinicians and Hospital Director.
- Attend and document meetings, including those at the Board level.
- Manage visitor schedules on behalf of the Hospital Director.
- Provide essential support for clinical letters, references, and correspondence.
- Assist in planning conferences, workshops, and other events.
- Greet visitors on behalf of the Directors.
For the Senior Clinical Secretary Role:
- Line manage other Clinical Secretaries, offering guidance and feedback.
- Perform accurate audio and copy typing of clinician correspondence.
- Ensure timely distribution of routine letters and test results.
- Respond to queries from referring Primary Care Veterinarians (PCVs).
- Maintain meticulous office files and patient records.
- Uphold high levels of attention to detail.
- Contribute to database maintenance and backups.
- Manage office supplies and equipment.
Person specification:
- Proven experience in a similar administrative role within a veterinary or healthcare setting.
- Proven line management experience.
- Strong organisational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Proficient in audio and copy typing.
- Familiarity with veterinary terminology is a plus.
Working hours 9.30am - 5.30pm Monday - Friday and there is the option to work from home one day per week.
Salary for this role is up to £36,000 DOE plus benefits.
