Job Description
We are currently seeking aSenior Payroll Specialist to join our team based in London.
Your opportunity
As a core member of the Kering UK HRSS payroll team, this role supports the UK employees of the Kering Group across a defined range of payroll processes and activities. Working collaboratively with the HR Shared Services team, this role requires a real passion for service excellence, with a natural ability to prioritize, co-ordinate and build connections with key stakeholders by providing accurate compliance and support.
How you will contribute
Reporting to the Payroll Manager and based in our office in London, your responsibilities will include, but are not limited to:
Payroll processing
  • Communicate the calendar of key dates to Brands
  • Enforce the calendar deadlines set for the brands
  • Ensure all data for the pay period has been entered onto the payroll system (UK & Ireland payroll)
  • Efficient use of tools (import, manual input)
  • Complete Data Integration import and formatting process from Workday, resolve any brand queries and complete import when finalized
  • Manage advance payments and payment transfers
  • Updating and managing the 'Childcare Voucher' scheme
  • Manage checks and approval process with the HR Business Partners
  • Process specific payrolls (terminations, calculations, timesheets, bonuses and one-off payments)
  • Ensure that all absences entitlements have been assessed, evaluated and accounted for and the appropriate processing of deductions are made
  • Request exceptional payments outside the regular payment transfer cycle
  • Check and validate end-of-month payment transfer requests
  • Process last-minute changes to the payroll such as late leavers, missed bonuses, etc
  • Produce HMRC remittances and P30 payments for approval and payment
  • Process, upload and make monthly Statutory, HMRC and benefit provider payments
  • Responsible for and administer the pension scheme (DC) management, auto enrolment
  • Produce monthly checking report for onward audit by Manager
  • Record and produce audit check lists for Manager review
  • Review and complete compliance checks - ie NMW, NI cat etc.
  • Responsible for and administer the Lunch allowance scheme

Payroll reporting and processes/ Benefits
  • Investigate and resolve any payroll errors
  • Responsible for uploading TM1 (Headcount Reporting system)
  • Providing monthly reports to the Brands and Finance
  • Uploading Payroll Journal onto SAP
  • Uploading all payslips via the crush server onto Workday
  • Delivery of Payroll induction training
  • Responsible for the admin and approval of Employee applications for specific benefits (Cyclescheme, Techscheme and Season ticket Loans)
  • Provide support to the Reward and Benefits Manager with ad-hoc projects as and when required

Compliance
  • Support the Payroll Manager with any audit information requests (external) and lead for brands (internal)
  • Ensure all statutory requirement changes have been actioned on the payroll
  • Responsible for payroll queries for allocated brands
  • Responsible for Kering Connect tickets raised by Employees or by the HRBPs for the brands
  • GDPR - ensure file structure and contents are checked for compliance regularly and working at best practice
  • FPS/EPS compliance checks & review

Team and stakeholder management
  • Deputise for the Payroll Manager when necessary and provide training for the Payroll Administrator on specific tasks
  • Build and foster strong relationships with key external vendors and contacts

Systems
  • Build and maintain reports as and when required
  • Perform Microsoft Excel at a Superuser level and provide training to the immediate and wider team
  • First point of contact for HRIS/HRSS stakeholders for changes/improvements
  • Be the Superuser of the payroll system, including liaising with the provider to ensure compliance and provide user training

Who you are
  • Strong interpersonal, communication (written and verbal) and presentation skills
  • Excellent customer service standards
  • Experience of HRIS systems desirable (preferably Workday)
  • Organised and able to prioritise, with excellent attention to detail
  • Able to work well under pressure and towards tight deadlines
  • Ability to work in a fast-paced environment, operate under pressure and meet strict deadlines
  • Problem solver
  • Experience in the luxury retail industry highly desirable
