About the Service Administrator and Receptionist role:
You will be working within the Operations Centre, where your responsibilities are split between administrative compliance duties for Portsmouth City Councils - Repairs and Maintenance Services and the Office Reception.
You will need to interact regularly with our clients Employees Subcontractors, Clients, Visitors Residents and Safety Dept, ensuring you issue, receive, and record clean information accurately and timely.
Key responsibilities as theService Administrator and Receptionist will include:
- Recording information directly into the Job Management Systems (FES), Client Repairs and Property Database, or any other system(s) ensuring the integrity of information and data can be reconciled when used to deliver the service
- When recording or receiving information from PCC Area Office, Tenants, or Operatives repeat what was said or ask them to repeat to ensure information recorded is accurate
- As receptionist you will be the point of contact for all visitors and incoming calls. Ensuring that they have a professional and warm welcome
- Maintaining stock levels of stationary, equipment and refreshments
- Undertaking various adhoc administrative tasks to support all departments within the business
- Ensuring that mail and parcels are distributed to the right departments
- Responsibility for the administration of Asbestos Service information ensuring clean information is recorded into the Job Management System FES and the PCC database(s)
- Responsibility for the administration of Scaffold Service information ensuring all required compliance information is recorded directly into the Job Management System FES and the Contract Scaffold Register
- Responsibility for the administration of employee Training ensuring the Competency and Training matrix is in date
- Living the company ethos and values at all times with whoever you deal or engage with
- Ensuring all ID badges are made for new starters and subcontractors
What the company are looking for in their Service Administrator and Receptionist:
- GCSE or equivalent grade C or above in Math and English
- Experience of working in a Reception Area / Call Centre Environment
