Job Title: Storekeeper/Clerk

JOB PURPOSE

1. Work in close liaison with Estates Manager Estates Officers, Engineering and Building Supervisors, Maintenance Trade-staff, Wards and Departments.

2. To provide an efficient Estates store service to support all Engineering and Building functions and all wards and departments,

3. As key Members of Estates Department, to carry out a range of clerical and stores tasks associated with the running of Hospital Engineering Stores.

4. To provide a safe and pleasant environment for all staff.

DUTIES AND RESPONSIBILITIES

1. To undertake routine and as hoc stock checks and audits.

2. To requisition on Oracle stock, non-stock and specialist equipment and materials, in line with stock control systems to procure on behalf of all Estates staff spares equipment and materials.

3. To check and receipt all goods / deliveries, reviewing deliveries against appropriate invoices.

4. Recording receipts (GRN) on Oracle and Planet works Management system.

5. To assist in unloading inbound deliveries ensuring all deliveries are handled appropriately and safely into stores for inspection prior to entry to Engineering stores.

6. Display good communicating skills when contacting suppliers to ensure best value, contacting suppliers to source materials and request those materials in accordance with Health Board and department policies and procedure.

7. Responsible for accurate data entry into stock entry system.

8. The issue of stock and non-stock items to engineering, building staff and hospital staff under department and Health Board procedure and instructions.

9. Communicate and discuss with the Estates Officers, Supervisors, Engineers and contractors, to understand their requirements which is often of a complex nature and order spares and new equipment.

10. Work unsupervised and under own initiative.

11. To liaise with suppliers and accounts department regarding invoice queries.

12. To act as COSHH Officer for the department and to hold on file COSHH assessments for stock and non-stock items.

13. To arrange for COSHH Assessments to be undertaken on any new materials and to update the COSHH Register as necessary.

14. On a day to day basis is responsible for resolving issues with suppliers on shortages, damaged goods and anomalies in paperwork.

15. To be aware of Health Board financial procedures and act in accordance with them as appropriate.

16. To respect and adhere to the Health Board policies including confidentiality.

17. Liaising with Estates staff and Help Desk Operators to arrange appliance testing of equipment received within stores.

18. On completion of work ensure that the work area in maintained in a safe secure tidy manner.

19. Responsible for the opening and closing of the Stores and for its security during working hours.

20. Undertake the duties in a safe manner and working within the Health Board’s health and safety policies and procedures ensuring that working practices comply in both sprit and practise.

21. Undertake continuing personal development to maintain the competency requirements of the post.

22. Demonstrate to new employees, activities and procedures to be followed when working in the Stores department.

23. The allocation of stock numbers to new stock items.

24. Reorganise the layout of the Stores when needing to accommodate increases in stock levels including the assembly / dismantling of storage shelving and bin number systems.
