Volunteering Team Administrator6 Month FTCSalary: £26,650 per annum.Full time, Hybrid working - Remote and Ewell, Surrey office.
As a member of the Volunteering Team you will ensure the efficient running of our Volunteer Services team, by providing excellent administrative and caseload support to the staff and volunteer team.
You will support the coordination of caseloads across the Volunteer Services Team by filtering first line contacts including branch and volunteer enquiries, internal staff requests and concerns and complaints.
KEY RESPONSIBILITIES
• Provides administrative and caseload support to staff across the Volunteer Services Team• Act as first point for enquiries from new volunteers as well as our branch volunteers and volunteer leaders• Respond to first level contacts, triaging enquiries to relevant members of the organisation where appropriate• Manage enquiries from volunteers with new and ongoing concerns and complaints• Manage volunteer information and create, manage and update salesforce records accordingly• Ensure that caseload data is accurate and updated on the systems and relevant reports are produced• Supports the provision and dissemination of guidance to branches• Update internal guidance and procedures on the intranet pages• Contribute to the effective and efficient running of Central Office as appropriate.• Participate, as appropriate, in staff forums and meetings• Adhere to policies and procedures.• Carry out reasonable requests made that are within the broad remit of the role.
SKILLS, KNOWLEDGE AND EXPERIENCE
Essential
• Proven strong experience of administrative skills with excellent attention to detail• Experience consolidating documents and clearly relaying the information• Excellent communication and interpersonal skills, able to communicate at all levels• Able to manage a significant workload through effective prioritisation.• Problem-solving skills and the ability to come up with creative solutions to issues• Ability to lead confidently on own projects and areas of work.• Ability to handle confrontation and conflict• Willing and able to travel and attend weekend meetings (UK & Ireland) and participate in some out-of-hours work.• Emotionally Resilient to sensitive information.• An understanding of GDPR and data retention requirements
Desirable
• Previous experience within a volunteer-based setting• Previous experience within a customer service role• Experience writing reports or proof-reading• Experience of using a CRM system e.g. Salesforce• Experience of supporting individuals in distress or with complex emotional/mental health needs
