About the role

The Business Administration Service (BAS) provides administrative support across Leeds City Council and all its services. The aim of BAS is to develop a professional service which meets service needs and supports the delivery of the Best Council Plan, ensuring the efficient use of resources, capacity, and technology. This role is working in BAS supporting Children and Families Social Work teams in the West of the City.
Social work is the activity carried out on behalf of the local authority to safeguard and promote the welfare of children and young people in partnership with other partners such as health, the police and with the third sector and schools.
Your role

We are looking for a Team Co-ordinator who will offer bespoke administration support to the social work team managers and their team members. The role will be a point of contact for other social work team members, families and professionals providing accurate, timely and comprehensive support to the team manager/s.
This role will evolve, there will be line management responsibilities where you will be responsible for 1:1’s, appraisals, staff development and sickness monitoring. You will take on flexible tasks to meet changing needs and priorities but initially tasks will include providing diary management and organising meetings, taking minutes as required, performance data, supporting with recruitment to name but a few.  
This role is office based five days a week and will be based in the West of the City covering a number of offices which include Bramley, Rawdon and Chapel Allerton.

Job Description

Shared Services consists of employees in the Business Support Centre, Business Administration Service and Contact Centre. These services provide administration support activities to a wide range of teams and services across the council.  We help the council to streamline operations by redesigning processes, reviewing models of delivery to enable better sharing of resources and exploiting existing or introducing new technology to modernise the way we work.
Our staff use a range of computer programmes and systems to support services which include those working with teams based across the council in a number of different administration roles.   The role is primarily office based, potentially working face-to-face with customers, working within the council boundaries as required.
Job Purpose: 

This role will offer bespoke administration support to the social work team managers and their team members and will be predominantly office based. This will include providing diary management and organising meetings, taking minutes as required and provide up to date information during meetings.

Responsibilities:

Undertake introductory sessions with new social work team members and ensure that the induction process is initiated with information provided about relevant mandatory training.

Support with data production to assist the team manager with performance management of work in the team will be required.

Direct incoming queries from internal/external contacts where they can’t be resolved immediately and redirect urgent/sensitive matters accordingly.

Present a variety of information in a clear and concise way both through written reports and verbally with high attention to detail.

A commitment to the continuous improvement of quality standards, business procedures and processes through continuous review and development.

Provide suggestions to management for the improvements of processes and services.

Attend service relevant meetings and take minutes when required.

Resolve customer queries, including those of a complex nature.

Maintain effective relationships with other Leeds City Council staff, Elected Members, members of the public and other partnership organisations as appropriate.

Work flexibly moving within service areas, working at different locations depending on service demand

Flexible and adaptable to change to assist other services as required commensurate to grade

Participate in appraisal, training and development activities as necessary to ensure up to date knowledge and skills.

Improve own practice through observation, evaluation, discussion with colleagues and development programmes.

Work collaboratively with colleagues, knowing when to seek help and advice.

Contribute to the overall ethos, work, and aims of the service by attending relevant meetings, training days/events as requested.

Be aware of and comply with Leeds City Council policies and procedures e.g. child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

Qualifications: 

Qualifications demonstrating ability in numeracy and literacy or equivalent knowledge
