FT Reception Administrator (Civic Services) Temporary Contract

Tobe responsible to the Civic Services Officer for:
·providinga receptionist and general information service for all users, includingMembers, staff, customers, contractors, tourists and the general public visitingany of the Belfast City Council City Centre premises; and
·operatingthe retail area located at the reception area in the City Hall and anyadditional retail areas that may be established at any of the Belfast City Council City Centre premises.
SUMMARY OF DUTIES:
1.Tocarry out the Reception Administrator duties at all assigned Belfast CityCouncil City Centre premises on the basis of rotas developed by the unit, andto deal effectively, efficiently and in a friendly manner with tourists,visitors, the public, members of council and staff.
2.Todeal with all reception desk enquiries, including the display, holding andissuing of relevant council information, and as required issue information onspecial events and initiatives.
3.Toissue visitor and contractor passes and to use all supplied systems andservices to do so, to give directions when required.
4.Toassist as required with the receipt, reconciliation and safe-keeping of incomereceived in respect of the operation of retail areas and admission activities, includingthe display, sale, replenishment and stock-taking of merchandise.
5.Toreceive enquiries both by telephone and from personal callers, and to makebookings for tours.
6.Toassist in the provision of a range of routine business related activities, forexample, customer support, data input and extraction, compilation of relevantstatistical information and general administration tasks as required.
7.Tocompile and update relevant information on services provided by Belfast CityCouncil and external bodies and provide this on request to tourists, visitorsand members of the public.
8.Toassist in reception administration related operations at any exhibitionfacilities in City Hall or other city-centre council properties as and whenrequired.
9.Toassist all tourists, visitors, contractors and members of the public inadhering to the prevailing evacuation procedures.
Essential Criteria:
Experience
Applicantsmust, as at the closing date be able to demonstrate by providing personal and specific examples, at least one year’s relevantexperience in each of the following areas:
(a)providinga reception service, preferably for a large organisation; and
(b)dealingwith enquiries from internal and external customers, both in person and overthe telephone, providing a high level of customer service.
Location:Belfast City Centre
Hours: 8.00-5.00pm Monday to Friday
Salary:£12.38 per hour plus holiday pay
