Job description

Fixed Term Contract – 07 May* to 18 August 2024

(*start date to be confirmed but we anticipate 07 May 2024)

All meals provided whilst on duty.

Whitgift is a leading independent day and boarding school for boys, with approximately 1500 pupils including over 100 boarding pupils and flexi boarding pupils. It is set in an attractive 48-acre parkland site in South Croydon enjoying excellent links to London, Surrey and the south coast.

During the summer holidays Whitgift runs its own Summer School for international students, utilising all its fantastic facilities and modern boarding house. Whitgift Summer School (part of Whitgift Short Courses), with its innovative and exciting English language and academic courses, along with activities which involve English speaking students, is designed to appeal to girls and boys aged 11-17 from all over the world.

We are seeking to appoint an Airport Co-ordinator/Administrative Assistant who will work closely with the Marketing Manager, Course Director, and year-round International Education Administrators. The Airport Co-ordinator/Administrative Assistant will be responsible for co-ordinating the airport transfers for arriving and departing students. In addition, they will provide comprehensive administrative assistance across all areas, in the run up to, and during, the Summer School. This is a 6-day a week role, however, in the initial period of employment before the Summer School starts, the Airport Co-ordinator/Administrative Assistant will work 3 days per week.

General duties involve being in regular contact with parents and agents answering any queries they may have and co-ordinating the pre-arrival process (e.g. flight arrivals/departures/pre course testing). Managing the airport transfer process over summer, including liaising with drivers and staff to ensure pick-ups/drop offs run smoothly. Assisting key members of staff as necessary such as the Director of Studies, Welfare Manager and Activity Manager. Proactively assisting the admin team with daily tasks.

The post holder will also manage the student feedback and report process on a weekly basis and report back to the department managers.

The successful applicant will be highly motivated, show a significant degree of initiative, and be able to work efficiently and calmly, even at times of particular pressure. Inter-personal and logistical skills of an especially high order will be required. The post requires a person of a friendly and co-operative nature, with a flexible approach. First-rate written skills and an excellent command of the English language, with a high level of attention to detail, are essential. Candidates must have strong proficiency in IT, particularly with Microsoft Office.

Applicants must be able to present evidence of their right to work in the UK for the duration of the contract.

We welcome applications from all sectors of our community as we aspire to attract staff that match the social and cultural diversity of our student intake.

Further information about the role and the skills required is available at the bottom of the advertisement. Click the green 'Apply' button on the top right for the online application form.

For any queries, please telephone the Summer School on 020 8633 9924 or email

Applications will be reviewed daily, and interviews may occur at any stage after applications are received, so we invite interested candidates to apply as soon as possible. The School reserves the right to appoint at any stage of the recruitment process.

Closing date: 21 April 2024

Whitgift School (part of the John Whitgift Foundation) is committed to safeguarding and promoting the welfare of young people. Applicants must be willing to undergo child protection screening including checks with past employers, the Disclosure & Barring Service and online checks (including personal, professional and other online activities).

For more than 400 years, Whitgift has been transforming boys’ lives through education.

Whitgift 2025 was created as a result of the input and imagination of staff and students and the next few years will represent an exciting time of evolution for the school, both in terms of our site development plan and the educational partnerships we are embarking on.
