Job Description
ROLE OVERVIEW
This position would suit a highly proactive EA with excellent organisational skills. The ideal candidate would be resourceful, resilient and have experience operating in a fast-paced corporate environment.
Key Responsibilities
• Management and coordination of complex diaries across multiple time zones.
• Coordinate frequent and often last minute international and national travel, producing visa and entry documentation.
• Arrange and prepare for meetings and conferences, including editing power-point presentations, detailed agendas and IT set up as required.
• Compile and submit expense reports each month in line with company policy.
• Draft and co-ordinate correspondence, meeting agendas and presentation material etc.
• Process legal documents in line with company policy.
• Process invoices and retain records to ensure timely payment.
• Gatekeeping telephone calls and e-mails and respond on behalf where appropriate.
• Support to visitors from overseas offices.
• Sort post and deal with routine enquiries and confidential correspondence.
• Keeping archive and document registers up to date. Arranging filing where necessary.
• Maintaining key contact files, ensuring they are up to date and accurate at all times.
• Keeping confidential files for all team members in line with GDPR.
• Work closely with other EA's in the Private Equity team and cover holidays as and when required. Provide help where necessary to other EA's in the company.
• Any other ad hoc duties as requested by management.
Technical Skills
• Excellent organization and communication skills.
• Proficient knowledge of Microsoft Outlook, Word and PowerPoint - Previous experience using Concur and Serengeti would be desirable but not essential.
• Proactive and able to work on own initiative as well as part of a team.
• Decisive, resourceful and quick to prioritize.
• High attention to detail.
• Flexible and adaptable.
• Resilient, with strong team focus.
