Salary Details:EHCC Scale B:1 - FTE: £22,737. Actual salary: £13,037.38

Hours of Work:24.25 hours per week (term time plus one week in the school holidays) - Mon, Tues, Thurs & Fri 8:15 - 13:00 and Weds 8:15 - 15:15

Calmore Infant School are looking to appoint an Administrative Assistant to join our friendly, happy and hardworking team.  We are an inclusive school with dedicated staff and a supportive community, committed to providing high standards in education.

Parents, children and staff comment on the warm welcome and support that they receive from our school office.

The successful candidate will act as the first point of contact for parents/visitors to the school and will need to be confident about running the reception.  Flexibility and organisation skills are paramount.

 We are looking for someone who is:

  • Friendly and welcoming with a warm and professional manner
  • Able to communicate effectively in person and by telephone
  • Calm under pressure and able to work with frequent interruptions
  • A team member who is happy to be flexible if necessary
  • IT literate with a good working knowledge of Office 365, a working understanding of Excel would be an advantage
  • Qualified in Maths and English at GCSE grade C or above (or equivalent) as well as a formal qualification beyond GCSE or equivalent
  • Experienced in an administrative roll
  • Ideally has some knowledge of working in a school
  • Can undertake efficient record keeping of current staff training qualifications and training needs in order to comply with our Health and Safety requirements
  • Is able to work under pressure at a high level
  • Is able to manage, prioritise and meet deadlines
  • Show initiative and flexibility
  • Willing to undertake a Paediatric First Aid course and administer first aid on the children thereafter

Experience of working in a school office environment including School Information Management System Arbor, a working knowledge of Hampshire County Council central financing scheme and a First Aid certificate is desirable, but not essential, as specific training will be provided as required for the right individual.

This busy role is varied. Duties will include:

  • Providing a welcoming reception to visitors, answering telephone and email queries
  • Daily attendance and school meal administration
  • Maintenance of Arbor school pupil database including statutory returns
  • Supporting staff with administration and letters for school events, trips and other communications with parents.
  • Administration of the schools Health and Safety procedures, ensure compliance with relevant legislation e.g. Fire regulations.
  • Effectively manage and maintain day to day systems in school including organisation of after school clubs, medicines and lost property.
  • Ensure compliance with visitor procedures and safeguarding expectations

Pupil welfare, confidentiality and safeguarding are important parts of this role, and the successful candidate should be able to relate well to young children, often dealing with minor first aid incidents, helping children to change etc.
