Role Overview:Administrative Assistants operate within the Executive Support Services (ESS) team, providing support across all business areas. Reporting to the Executive Support Manager or Executive Support Team Leader, this role assists Executive Assistants using available resources efficiently. Situated in the firm's Central Administration team, it supports all National Service Lines.
Candidate Profile:The successful candidate will likely possess: Recent office administration experience or relevant secretarial/administration qualification. Minimum 5 GCSEs at Grade 4 or above, including Mathematics and English (or equivalent). Proficiency in Microsoft Office applications, particularly Word and Outlook. Comfort with technology and data inputting.Additionally, the ideal candidate will demonstrate: Strong teamwork and relationship-building skills. Effective planning and organisational abilities. Ability to remain composed under pressure. Excellent communication skills. Dedication to providing outstanding support and client service. Meticulous attention to detail.
Key Responsibilities:Client Support: Assist Executive Assistants with travel arrangements, expense inputting, meeting room bookings, and catering. Aid in organising meetings/seminars. Support Corporate Fee Earners with post-completion tasks. Employ appropriate forms of communication for different situations. Adhere to firm policies, procedures, and client service standards. Collaborate with ESS team members to resolve issues satisfactorily.
Leadership: Stay informed about firm communications and support new initiatives. Demonstrate willingness to assist others and adapt to cover absences. Understand basic legal processes relevant to covered work. Contribute to innovation within the role.
Business Management: Update the firm's client database system and maintain mailing lists. Promptly retrieve files from storage as needed. Demonstrate flexibility to meet deadlines and business demands. Prioritise workload and communicate progress and issues effectively. Attend meetings and training sessions as required.
Technical Excellence: Maintain proficiency in filing structures for accurate filing and e-filing. Manage archiving process, including closing files and updating records. Ensure accuracy and quality in photocopying, printing, and scanning tasks. Type documentation accurately and in compliance with house style. Prepare overviews on post-completion matters and create bible indexes as needed.
