Administrative Assistant
Location: Hybrid with very occasional travel to Oxfordshire
Salary: 25,148

Are you a proactive and detail-oriented individual with experience in office administration and financial support? We have an exciting opportunity for an Administrative Assistant to join our ICT Department and provide essential support services. Working under the guidance of the Commercial Analyst, you'll play a crucial role in ensuring the smooth flow of administrative processes within the team.
Key Responsibilities:
- Manage designated administrative duties, maintaining effective control of all documents for the office as directed by the Commercial Analyst.
- Liaise with third-party suppliers, ensuring timely fulfillment of purchase orders and handling related queries, escalating when necessary.
- Respond promptly to queries from Corporate Finance or internal staff regarding purchase orders, aiming for a 2-day turnaround for accurate resolutions.
- Develop, draft, or proof a variety of documents, including Word documents, Excel Workbooks, and PowerPoint presentations.
- Assist the Commercial Analyst in delivering and maintaining internal communications, such as monthly KPI reporting.
- Support the Commercial Analyst in onboarding new starters and managing the exit process for leavers, as directed by the Commercial Manager.
- Act as a single point of contact with Corporate Finance, Procure To Pay department for requisition and billing queries, ensuring timely filing for inspection and audit purposes.
Experience Required:
- Demonstrated experience in office administration, clerical work, and financial support, with a strong understanding of Microsoft Excel.
- Proven ability to achieve outcomes through influence and persuasion.
- Strong organisational skills with the ability to prioritise and reprioritise workload in a busy environment.
- Excellent written and oral communication skills, customer-focused, and a flexible team player.
- Experience in developing and delivering documents in similar-sized and complex organisations.
