Administrative Support

We’re a small consultancy specialising in fire safety engineering looking for an Administrator to support our Senior Fire Engineer/Director with day-to-day business needs, ranging from general administration to ensuring technical reports are proofread and in a professional condition before issuing to our clients.
This opportunity will suit those looking for:
- Remote/Homeworking
- Who live in SE England with ability to occasionally visit West Wycombe (Bucks) if needed
- Full-time (Monday-Friday), with some flexibility in working hours as agreed with Director
- Ideally able to start a.s.a.p.
- £20k-£23k p.a. depending on skills and experience.
Responsibilities include:
- General administration
- Ensuring information in systems & spreadsheets are accurate and up to date.
- Preparing and issuing quotes
- Preparing and issuing client invoices.
- Responding to general email queries and requests
- Verify and administer remittances, purchase orders, authorisations to proceed.
- Accurately reconcile client payments to invoices in QuickBooks.
- Chasing overdue quotes and invoices; escalating to management where appropriate.
- Supporting management on administrative aspects of projects.
- Liaise with and support the company director/fire engineer in managing their TEAMS Tasks.
- Administer company website.
- Proof-reading technical fire safety reports to ensure they are ready for issue to clients.
You will have/be:
- Comfortable within a small business where processes, practices and tools may be evolving.
- Steady & sufficient broadband strong enough to support Cloud-based online working (incl MS TEAMS) & video conferencing.
- Excellent accuracy and attention for detail.
- Proficiency in Microsoft Outlook, Word & Excel and able to learn new applications as needed.
- Familiarity with MS TEAMS and managing Tasks is an advantage.
- Ability to read for comprehension with solid business English and grammar skills.
- Ability to proof-read technical reports; including formatting competency with: Styles (report sections), Tables of Content, Footnotes.
- Organised, reliable, able to work quickly and independently.
- Ability to prioritise tasks and work under pressure with flexibility to adapt to changing workloads.

Pay: £20,000.00-£23,000.00 per year
