Westminster Kingsway College are looking for an organised and efficient Administrator to join their Mayor Academy of Hospitality Hub lead on a 1 Year Fixed Term Contract. The role of the Hub PA/Administrator is to be the first point of contact for incoming Hub related queries and to provide administrative support to the Hospitality Hub Lead.
Duties and Key Responsibilities
The successful Mayor Academy Administrator will participate in a 365 day per year administrative service working flexibly with colleagues. You will be the initial point of contact for any person making contact with the Hub, who require access to the Hub services and/or curriculum enquiries. You will receive and concisely record important information from each caller that will assist in the onward management of the call, be this the resolution at point of contact, message taking or referral to the Hub team. You will also be required to maintain up to date records of each call contact, and details of call transfers to defined services.
Coordination of Hub Service
- You will be required to liaise with external agencies as required to support the management of the team in conjunction with the Hub team.
- Be the Mayor's Academies point of contact for queries from other external organisations and partner agencies.
- Support the collection of data and information to inform the Hub's activities, progress and outcomes as required.
- Maintain accurate and up-to-date knowledge of the resources available to provide support for new learners.
- Effectively communicate with other agencies
General Administration
- Input up to date information into the information system to record relevant information of actions taken and outcomes.
- Communicate with the lecturing team and complete learners certificates.
- Coordinate with employers around jobs available and internship candidates
- Work with the Hub Coordinator to map out the skills needs across the area and help to create and develop new training opportunities.
- Work with the Hub Coordinator to engage and build a pipeline of trained workers.
You will have the following skills and attributes:
- Excellent written and verbal communication skills, in a wide variety of contexts and at different levels.
- Ideally experience of working in the hospitality and education sector.
- Ability to prioritise and schedule effectively to manage a dynamic workload and meet internal and external deadlines to balance competing priorities.
- Effective project co-ordination skills which ensure you can manage multiple projects with multiple deadlines.
