Administrator for Black Cultural Archives

Join a passionate, dynamic and expert team, committed to unlocking the power of Black history to inspire and empower.

We are looking for an experienced administrator with good attention to detail and strong communication and organisational skills.  You will support the smooth running of the organisation's activities, acting as the glue between our programmatic and commercial activities.  This is an exciting role for someone who wants to work in a dynamic environment, whilst making a positive difference to society.

SALARY: £24,000 pro rata

Part-time: 3 days a week

Reporting to:  Hannah John, Deputy Director

BASED AT: Black Cultural Archives, Brixton Headquarters

Supporting the Power of Black History

As an administrator at Black Cultural Archives, you will be responsible for supporting the implementation of organisational processes, procedures and policies as well as be responsible for the day-to-day monitoring of these.  You will also provide administrative support to our team members, ensuring that they have the resources they need to focus on their work.

About Black Cultural Archives (The BCA)

Inspired by Pan-African civil rights leader Queen Mother Moore, our founders established Black Cultural Archives in 1981 with a mission to create Britain's first archive-museum dedicated to representing the culture and history of Black people in Britain. Today we are a national institution dedicated to collecting, preserving, and celebrating the histories of Black people in Britain in order inspire and give strength to society. Our work falls into three areas: Collect and Activate - covering the work of our collections team to make our archive materials accessible for research and knowledge production, Educate and Inspire= covering the work of our learning team and workforce development projects to support Black history education and heritage skills development, and Celebrate and Champion - covering our exhibition and events programme that encourage engagement with the knowledge held within our archives.

Key tasks

  • Support the running of day-to-day administration internally, using our in-house systems. This may include forwarding relevant emails to staff and assisting with operational tasks as requested from other members of staff
  • Answering enquiries from the public through our main inbox and voicemail, and maintaining BCA's organisational voice when answering incoming external enquiries
  • To support the Retail Manager with all hires, from enquiry stage to payment and evaluation
  • To support event management with managing RSVPs and creating guestlists
  • Support the Executive Assistant and Accountant with the maintenance of company financial records and asset hires, including logging invoices and purchase orders
  • To have oversight of office inventory, including ensuring an adequate supply of consumables, such as stationery or printer ink
  • To carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Support the Deputy Director in developing and updating administrative systems to make them more efficient

We are looking for candidates with:

  • Demonstrable administration experience
  • Good organisational skills: The ability to prioritise tasks, manage multiple projects simultaneously, and meet deadlines.
  • Good communication skills: Effective verbal and written communication skills to interact with colleagues, donors, volunteers, and other stakeholders.
  • Attention to detail: Careful attention to detail to ensure accuracy and completeness in administrative tasks, such as data entry, financial reporting, and correspondence.
  • Technical skills: Proficiency in Microsoft Office, especially Excel, Word, and Outlook, as well as the ability to learn new software and systems.
  • Time management: Ability to manage time effectively, prioritise tasks, and meet deadlines.
  • Teamwork and collaboration: Willingness to work collaboratively with colleagues, volunteers, and other stakeholders to achieve shared goals.
  • Flexibility: Ability to adapt to changing circumstances, priorities, and deadlines.
  • Discretion and confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
  • Passion for the charity's mission: Enthusiasm for the charity's work and values, with a commitment to supporting the organisation's goals and objectives.
  • Proactivity: Ability to take initiative, anticipate needs, and suggest solutions or improvements.
  • Adaptability: Willingness to learn new skills, take on new responsibilities, and adapt to changing circumstances.
