About the Administrator role:
As our Administrator, you will ensure you issue, receive, and record clean information accurately and timely for all calls and emails regarding all new repairs and ongoing repair appointments to achieve our purpose of the right work at the right time. The role also includes management of materials to ensure the correct materials are utilised as per specification.
Key responsibilities as ourAdministrator will include:
- Recording accurate information from operatives, subcontractors and clients.
- Ensuring all systems are kept updated with required information
- Responding to internal and client emails and manage the shared email inbox
- Supporting the Service Manager to plan and deliver the day by sending the right operatives and sub-contractors, ensuring operatives and sub-contractors arrive on time and in the most cost-effective manner.
- Allocating the right operatives, based on skills, availability and locality to the jobs that are nearing completion to ensure we meet appointment times and minimize travel and downtime.
- Carrying out customer satisfaction surveys and support in compiling monthly client reports
- Carrying out materials and equipment ordering as required
- Ensuring issues are being captured and feedback to the Service Manager / Contract Manager.
- Any other tasks as reasonably requested by the Service Manager / Contract Manager
- Championing Customer Service and coaching the team to treat customers as they would expect to be treated if they were the customer themselves.
- Being responsible for your own Health & Safety and are expected to work with the Company and your line manger to ensure safety guidelines are followed and adhered.

What we are looking for in our Administrator:
- GCSE or equivalent grade C or above in Math and English
- Good working knowledge of MS Office including Word and Excel with accurate keyboard skills
- Basic knowledge of building maintenance trades and the tasks/activities that can be undertaken by each trade group.
- Good understanding of Geographical areas including streets and buildings, finding the best routes, and travel times between different locations.
