My Client, full-service Fire and Security firm, are looking for an Operations Assistant to join their friendly, tight knit team. This is an office-based position from their HQ in Tonbridge, Monday-Friday 9am and 5pm.

They pride themselves on being customer focussed, delivering a tailored service where their client’s needs are at the forefront and need a highly organised individual with exceptional attention to detail and excellent stakeholder management skills to support the smooth running of their operation.

Working closely with the Operations Manager your responsibilities will include:

  • Coordinating purchases of equipment and materials for jobs, including large commercial and residential projects; sourcing from various suppliers to ensure the most competitively priced materials are acquired and delivery dates meet project time lines.
  • Ensuring equipment is delivered to site promptly and organised correctly, booking returns as needed.
  • Returning faulty products, correctly identifying the correct source for each job, and ensuring terms are met to not incur additional costs.
  • Raising/updating jobs on the internal CRM, ensuring correct allocation of job numbers, costs and supplier details as needed.
  • Managing stock levels for materials/consumables held at HQ and ensuring stock rotation is performed when needed.
  • Managing goods-in procedures. Unpacking daily orders, ensuring all items ordered have been received and following up on missing items.
  • Building strong relationships with suppliers to enable the swift management/resolution of any disputes and to assist with any last-minute requests that may fall outside of usual SLA’s.
  • Updating technical drawings for quotations/installations and final fit projects.
  • Additional office administration duties as needed to support the smooth running of the office.

Working as part of a tight knit team in an ever-changing environment it is essential that you can multi task and prioritise your workload. You will also need:

  • A good working knowledge of Microsoft Office Application, Outlook, Word, and Excel. Training will be provided on more specialist packages.
  • Excellent time/project management skills.
  • Excellent attention to detail.
  • Strong numeracy skills as you will be dealing with quotations and negotiating process.
  • Manual handling for deliveries.
  • Valid, manual driving licence as you may be required to run parts to local jobs in an emergency.
  • Friendly and professional telephone manner.

The successful applicant will be asked to undertake a full DBS screening.
