Department Summary
This role is part of the Global Real Estate and Services ("GRES") department.
The GRES department is responsible for:
- Management of ICBCS office leases and office space
- Mechanical and electrical maintenance within ICBCS office space
- Facilities services
- Health and safety
- Emergency and pandemic planning
- Management of catering and cleaning services
- Travel and travel security for ICBCS employees who travel
- Processing and distribution of post
- Switchboard and reception services
- Audio visual support for client meeting rooms, and internal and external events
- Insurance policies relating to ICBCS office space and contents
- Support for corporate event planning
- Provision of GRES services to our affiliate, Standard Bank
The GRES department forms part of the Office of the COO ("OCOO") division which encompasses: GRES, Operations, Technology, Client Management Unit, Global Supplier Management, Business Change, Business Management and Regulatory Oversight.
Job Purpose
This role will support the Post Room employees with the day-to-day operation of the Post Room and the processes for which the Post Room are responsible.
Key Responsibilities
- Sorting of internal/external post and deliveries
- Delivering parcels and supplies to various areas of the Bank and Standard Bank
- Ordering stationery supplies, including business cards and day-to-day office equipment
- Receipting and safekeeping of incoming courier items via Track IT system
- Arranging and sending UK and international couriers via approved parties
- Maintenance of print hubs e.g. paper and stationery supplies, housekeeping of print hubs
- Assisting with staff requests for printing and binding
- Receipting of client invoices for Finance and Procurement purposes
- Managing the offsite storage of client documents and files
- Conducting records management and data analysis via RS Web
- Dealing with suppliers and internal and external users in person, by telephone and email
- Providing a high level of customer service to the employees of the Bank
- Carrying out any other reasonable duties as required by the Post Room team.
Preferred Qualifications and Experience
Knowledge and skills:
- Previous experience of reaching goals and completing projects
- Some basic IT skills would be an advantage
