Our client is a boutique Hedge Fund, which runs a successful fund, and they are looking for a new Business Manager to join their team. The firm is 16 people strong, and they are a friendly team who are all passionate about what they do, and this role is pivotal in the smooth running of the office and business. It requires someone who can wear lots of hats and it will comprised of the following 4 elements: Office Management; Investor Relations/Client Services support; EA support to the 2 Founders (including personal support); Support to the Broader Investment Team. Whilst previous Hedge Fund or financial services experience is preferred, all of the investment tasks can be taught and there will be a thorough handover. Duties will include but not be limited too:
EA Duties:
Diary management:Manage and maintain the Founders’ calendars including scheduling appointments, internal/external meetings and conference calls. Assist the Head of Investor Relations with diary bookings. Inbox management: File emails as required in the respective folders for the Founders. Expenses: Complete monthly expense reconciliation for the Founders’ corporate credit card and out of pocket expenses. Travel: Coordinate the Founders’ travel itineraries, flights, hotel accommodation, airport transfers, rental car, visas and other travel needs. Projects: Support in external business ventures of the Founders. Private Support: Assist with family events, trips, medical insurance claims etc when required and run errands when required. Team Support: Provide assistance and support to others on various projects such as new employee onboarding, calendar planning, projects, invoicing and staff communication. Assist others with occasional flights, hotel accommodation, airport transfers and visas. Administrative Duties: Provide administrative support to Founders in order to increase their availability for trading and executive level responsibilities. Assist with any ad hoc requests of the Founders. Office Management:
Oversee all daily office functions ensuring the organization and staff have a safe, clean & optimal work environment. e.g. temperature, cleaning, building management etc. Serve as the first point of contact to answer, screen and transfer incoming calls as well as office visitors. Responsible for all vendor management which includes ordering equipment and supplies, managing and monitoring service levels, invoice reconciliation and addressing unsatisfactory vendor services. Plan all company and team events e.g. Holiday party, team building and offsites. Set up meeting rooms with refreshments and catering for external meetings. Maintain office files and records as well as update company contacts. Monitor and update shared Team in-boxes and calendars where necessary. Act as Fire Warden and Appointed First Aider. Arrange necessary H&S testing and risk assessments e.g. PAT Testing, Legionella, Fire Procure devices and equipment. Investor Relations Admin
Coordinate and distribute the monthly and quarterly performance letters to the investors. Update and manage the shared Global calendar with company reporting dates based on the portfolio and create workflows for Research Analysts based on the company reporting dates. Notify investment team of upcoming corporate access meetings, booking any corporate access meetings required. Whilst this is broad role it is all manageable within working hours. This role is 5 days in the office and there will be a couple of times a year that you would need to come in on a weekend to supervise any maintenance checks. This is a lovely role for someone with some solid EA/OM experience who enjoys a varied role and friendly but hard working corporate environemtent.
