Temporary Business Services Assistant / Admin - Children’s Services

Pay rate: £11.94 per hour PAYE
Hours per week: 37 Monday – Friday, normal working hours
This opening assignment is for 3-4 months
City: CHESTERFIELD, Derbyshire
Primarily office based role with occasional working from home with line manager approval
A Business Services Assistant is required to provide an efficient and effective administrative service to support Children’s Services teams and functions including the provision of advice and guidance on policies, procedures and processes. Based at The Pod, Chesterfield, but may be required to work at alternative bases.
Key responsibilities:
Provide an effective professional administrative support service to Children’s Services teams and functions in accordance with a range of business procedures and processes, ensuring quality service standards are maintained.
Carry out a wide range of Business Services tasks and processes ensuring performance objectives, targets and timescales are met, allocating and prioritising work across the team as the role requires
Co-ordinate work streams within own area of responsibility to manage peaks and troughs in business need.
Undertake budget monitoring activities and provide a range of financial data for use in management information reports and accounts reconciliation systems.
Provide advice and guidance to operational managers, employees and service users on relevant policies, processes and procedures ensuring compliance with appropriate regulations and legislation.
Support the Business Services Officer/Manager to strengthen operational efficiency and quality of service through the identification and implementation of improvements to procedures and processes maximising the use of ICT and the department’s EDRM systems.
Where the role requires, effectively support the continual development of members of the team, assisting with setting objectives through the My Plan process and performance monitoring.
Support the Business Services Manager and Business Services Officer on projects and initiatives to improve service delivery.
Represent the business support function at relevant internal and external meetings as required.
Develop and maintain document management and record keeping systems in accordance with standard formats and service requirements ensuring compliance with data protection and confidentiality requirements.
Deal with day to day enquiries and communications resolving issues and escalating to the appropriate level where necessary.

Qualifications:
Broad vocational training.
Experience:
Significant experience demonstrating development through involvement in a series of relevant work roles.
Some experience, supervisory and training for employees.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
Knowledge:
Clear understanding of standards and regulations set for the output of the role/team
Extensive knowledge of administrative practices and processes
Comprehensive knowledge and experience of relevant process or procedure, specialised equipment or software systems
Working knowledge of other areas of the authority relevant to the service
Understanding of data management systems and the ability to interpret and analyse data. Understanding of confidentiality issues, data protection and GDPR.
Skills & Abilities:
Proven initiative and judgement to resolve day to day problems independently.
Proven written and verbal communication skills.
Excellent organisational skills and the ability to prioritise and allocate work to meet targets and standards.
Excellent ICT skills including Microsoft Office, service specific software and bespoke databases.
