Job description

We are looking for a Business Support Assistant to join Scotland Directorate Business Support Team.  The postholder will be part of a small team of Business Support Assistants, providing a range of administrative and reception support to both internal and external customers.  This role is based in our Glasgow office, with flexibility to work on a hybrid basis between the office and home on a pattern to be agreed based on business needs and the needs of the successful candidate.  This is a fixed term contract until March 2025.

You will work closely with your team members, providing professional reception, facilities and administrative support to a range of teams in the Directorate.  Your typical day will range from answering the advice line and dealing with general enquiries, minute taking, booking travel and accommodation, booking meeting venues and catering along with supporting key roles in the area of processing grant applications using a variety of online platforms.

Candidates must demonstrate experience of working in a customer facing and an administrative role.

Basis: Full time, 37 hours - Flexible, open to a conversation on part time or job share.

Essential Criteria:

1)  Experience of working in a customer facing role, dealing with enquiries by telephone and email.

2)  Experience of working in a small multi-tasking team, supporting a range departments.
 

3)  Excellent IT skills, particularly in Microsoft packages, databases, MS Teams and / or other online platforms.

4)  Experience of providing effective administrative support to a diverse group of colleagues

Desirable criteria

1) Experience of booking travel and accommodation using various online platforms.

2) Experience of working independently with minimum supervision and ability to prioritise work to meet deadlines.

3) Experience of maintaining attention to detail while working at pace / speed.

4) Excellent team working and communication skills to be able to engage with colleagues in meetings and participate effectively in discussions.
