About the role

The Learning & Development Team are looking for a Business Support Officer to join our team on a fixed term contract until March 2025 providing excellent customer service and efficient administrative support to our learning offer.  You will be joining a welcoming and friendly team of just over 50 colleagues based at our office in Huntingdon and facilitating learning opportunities across the county. We support the learning and development of thousands of Council colleagues; we manage this through our Learning Management System (LMS) which hosts e-Learning modules and a booking system for in person and virtual training. Alongside this, we support colleagues to complete Apprenticeships and work-based qualifications.
We are passionate about delivering excellence and strive to ensure every interaction colleagues have with us is supportive, welcoming, and empowering, and you will have a key role in supporting us with this.  You will have the opportunity to work flexibly from both home and our main office in Huntingdon or other council locations across the county.

The position can be up to 37 hours per week, we also promote flexible working and would welcome applications from candidates who would like to explore a work pattern that works well for them. For internal colleagues, secondment requests are welcomed.

What will you be doing?

You will be working closely with a variety of learning facilitators across the team, the council, and external providers. You will also be in contact with learners who are wishing to access our learning offer. You will be part of a wider Business Support team of 8 other colleagues supporting similar activity. Tasks relating to this post can include:

  • Be the main point of contact for all queries relating to the Social Work (SW) Apprenticeship programme from Higher Education Institutes (HEI), applicants and internal teams via a shared mailbox responding to queries, seeking advice and input from others as needed.
  • Arranging interviews
  • Supporting the recruitment process for the SW Apprentices collating relevant documents, carrying out ID checks and completing the Disclosure and Barring Service process
  • Ordering of all IT equipment and resources for the programme 
  • Working with colleagues to plan and set up the induction programme, booking of speakers, trainers and rooms
  • Attending the monthly Task & Finish Group to support with recording actions and ensuring these are completed within a timely manner
  • Enabling payments to suppliers and invoices to charge customers.
  • Using the Learning Management System to advertise a variety of courses and all associated tasks to support the delivery of each course such as: adding courses and training dates, monitoring course numbers, confirming attendance, cancelling places

About you

You should have extensive office administration experience, the ability to prioritise your workload, show attention to detail and accuracy. Good communication skills will also be required as you will be liaising with a variety of people across the organisation as well as external colleagues.
You will be expected to work on your own initiative, keep calm under pressure and work to deadlines. You should have a methodical, concise and flexible approach to tasks and the ability to prioritise workloads effectively. You will need a comprehensive understanding of Microsoft packages (Teams, SharePoint, Word and Excel) and be able to use databases where full training will be given.
Don’t worry if you can’t yet fully demonstrate the essential criteria - a willingness to learn and develop is just as important and full training and support will be given.
