PA / Business Support to Directors
- To provide full proactive PA management / Business Support to the Directors in the efficient management & organisation of the Directors office.
Governance committee secretary
- To provide full secretarial support to the Governance committees within their Terms of Reference working with the Chair / Director to achieve their aims.

Contribute to supporting the secretariat team by providing cover for absences
Job description
Provide an executive secretarial service to the Directors by:
- Provide comprehensive diary management service, including the management and scheduling of key calendar appointments.
- E-mail management, supporting the Directors through effective and efficient management of their inbox.
- Plan and prioritise the Directors workload during regular 1:1’s, ensuring they are well briefed and aware of any issues in advance.
- Manage the logistics for directorates awaydays & events, from booking of venues to preparing presentations.
- Act as the first point of contact to the Directors handling complex and confidential situations and requests.
- Support Directors with the preparation of meeting organisation by ensuring all relevant papers, presentations etc. are available at the appropriate time.
- Managing directorate monthly meetings, preparing agendas, agreeing items with Directors
- Management of purchase orders, processing invoices and expenses, and quarterly director’s expenses process.
- Co-ordinating the on-boarding of new direct report team members.
Committee secretary
- Committee secretary, taking minutes, preparing agendas, distributing papers, producing, and monitoring actions.
Executive Secretariat
- Providing cover arrangements across the executive secretariat team

Person specification
- At least 2 years demonstrable experience in a similar role supporting a Board level Director. Experience in a financial or government context would be advantageous.
- The capability to demonstrate initiative and a flexible approach.
- Strong prioritisation and organisational skills, decision making and problem-solving ability.
- Demonstrates a ‘can do’ self-motivated approach
- Experience of putting together committee papers, taking minutes and following up actions is essential.
- Strong verbal and written communication and interpersonal skills to be able to develop effective working relationships.
- Accuracy and attention to detail are a must.
- Proficiency in using Microsoft software (particularly Outlook, SharePoint, and Teams).
- Good IT skills in PowerPoint, Excel and Word.

Working for NS&I
NS&I is currently working in a hybrid way with colleagues expected to work in the office for 40% of their working month and this will be increasing to 60% of their working month in the summer of 2024. If you are applying to work in London, the role is currently based in Sanctuary Buildings, Great Smith Street, SW1P 3BT and in summer 2024 it is anticipated that NS&I will be moving out of Sanctuary Buildings and into another office within central London.
Any move to NS&I from another employer will mean you can no longer access childcare vouchers. This includes moves between government departments. NS&I employees on a fixed term contract moving to another fixed term role, will continue to be employed for a fixed term to the end date of this role. You may apply for suitable roles within NS&I or the civil service.
Some Travel
