Job description

Venesky-Brown’s client, a public sector organisation in Sussex, is currently looking to recruit x2 Clerical Admin/Booking Officers for an initial 3 month contract on a rate of £11.67/hour PAYE. This role will be based on site.
Responsibilities:
- Work closely with the Administration Team Leader, Consultants, Superintendents and Senior Medical Staff, Sonographers and Radiographers to contribute positively to the effectiveness and efficiency of the team.
- Work as part of the team with effective communication between all parties concerned.
- Ability to deal with all queries effectively in a sensitive manner from both Trust staff and general public, some of which may be complex. Communication may be via email or telephone involving staff, patients or relatives, GPs and other healthcare professionals.
- Communicate with patients in a sensitive, confidential and tactful manner; some of the issues can be of a complex and contentious nature.
- Attend regular team briefs and huddles and ensure any duties are carried out as requested.
- Cancel and rebook lists at short notice due to mechanical breakdown or unexpected last-minute unavailability of staff. Make appropriate judgements on where to rebook the patients taking into account the urgency and availability.

- Interpret referrals ensuring that the patient is appropriately prepped and booked onto the correct list. Analyse and judge the urgency of referrals and bring them to the attention of the various Superintendents/Consultants within the department and expedite accordingly.
- Plan own work for the day to utilise all appointment spaces efficiently taking into account last minute availability and cancellations so that there are no wasted appointments.
- Booking of patient appointments via the computerised radiology information system (CRIS) for all modalities.
- To accurately use department computer systems, inputting data and retrieving information as necessary.
- To participate in the transfer and communication of Patient images via electronic processes.
- To contribute to and assist in Service improvement, developing and enhancing the overall imaging service to meet the continuing needs of the department and its users.
- To liaise with colleagues, other health professionals, patients and public where necessary to ensure a quality service is delivered.
- To take an active part in the annual performance and development review producing a Personal Development Plan in accordance with directorate neds and resources.
- To support the training of new members of staff by guiding them as necessary in the work area.
- Support the delivery of patient care in accordance with Department and Trust policy.
- Attend mandatory training updates as required.
- Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.
- Achieve and demonstrate agreed standards of personal and professional development within agreed timescales.
- Identify own learning needs and jointly plan training requirements with your line manager.
- Participate in the Trust’s appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
Essential Skills:
- CGSE or equivalent in English and Maths. Educated to at least NVQ Level 2 or equivalent level of competence.
- Competent in a range of packages including MS Word and MS Excel
- Experience of clerical duties
- Experience of working with people both over the phone and face to face.
- Knowledge and awareness of confidentiality issues relating to the Data Protection Act and Computer Misuse Act
- Good communication
- Able to work as part of a team.
- Flexible attitude to work rotation.
- Confidence to work on own initiative.
- Able to plan work, set priorities.
- Ability to concentrate for long periods maintaining accuracy.
- Ability to train new colleagues within the department.
- Keyboard and computer literate.
- Experience of working with IT systems
- Works without close supervision and manages own workload.
- Follows standard procedures and practices.
- Line manager available remotely to offer advice and assist with any issues that need escalation.
Desirable Skills:
- Evidence of continuous training or updating of skills
- Experience training colleagues.
- Experience of working in a hospital environment
- Knowledge of Radiology Information System (CRIS) Patient Administration System (Careflow)
