 Commercial Support Administrator 

Salary - £30,000 - £35,000pa 

Location - Swanley

My client is a highly successful software engineering company with a small UK office located in Swanley and a large offshore development and service centre in southern India.

Currently seeking an experience office support executive to provide a wide range of executive, administrative and Commercial Support assistance to the senior leadership team, located in the UK office. 

You will support the Chief Executive Officer, the Vice Presidents of Sales and Marketing and the Chief Operating Officer. 

This position is very hands on, no 2 days are the same, therefore seeking someone who has excellent organisational and time management skills.

Duties will include -

• Diary Management - Schedule and coordinate meetings, appointments, and conference calls for the CEO.
• Prioritise and optimise the CEO's daily and weekly schedule.
• Set reminders and manage the CEO's time efficiently.
• Travel arrangements - arrange and book flights, accommodations and transportation for business trips.
• Expenses management - Track and reconcile the CEO's expenses.
• Preparing and circulating the agenda for monthly management board meetings and other meetings that arise from time to time.
• Preparing minutes of the meeting, agreeing these with the COO and then circulating them.
• Gathering, preparing and maintaining our key supplier register.
• Financial duties including managing credit card statements, compliance terms and conditions, assist with prompt management, categorisation and payment of important supplier invoices.
• Providing management information to the leadership team concerning the amount spent by supplier and by product and then building trend analysis to show top spending areas and opportunities for savings.
• Compliance duties 

This is a full time hybrid position, 4 days initially then decreasing to 3 days in the office 

6 month probation
