Your new role
The headquarters team are looking at having a Compliance Administrator starting around the 13th of November 2024, until the end of March on a fixed term contract, with the possibility of an extension.
What you'll need to succeed
Duties
Carry out, monitor and chase standard team administration processes on a daily basis or as direct processes, to ensure compliance service standards are met or exceeded. Use appropriate office systems to process work, maintain accurate records and access information in support of compliance activities and objectives around self-receipting of invoices. Carry out servicing and documentation validation via location telephone audits. Work with an asset data team to ensure timely production of KPIs. Work with our contractors, finance invoicing teams and property colleagues to process self-receipting invoices in a timely manner and ensure contractors provide timely information on the self-receipting works which have been delivered. Respond proactively to awareness of any breaches in compliance, liaising collaboratively where necessary, with colleagues, contractors and consultants. Administrative processes include, but are not limited to, the following: general administrative duties, uploading documents to the system, cross-checking as required, processing data, chasing information especially around new development equipment and handovers, meeting preparation, minute taking, typing and circulation. Undertake regular reviews of uploaded files to ensure that all appropriate information is maintained and up to date via tracker, and liaising on internal audits. Ensure a timely and proactive response to all enquiries, forwarding to relevant colleagues as appropriate. Forming and maintaining important relationships with key stakeholders both via telephone/email and face-to-face meetings both internally and externally. Be a flexible team player, assisting colleagues by working in collaboration with administrative support colleagues to provide cover and service across Property, Asset Management & Compliance as and when required Experience required The ability to work as part of a team and to contribute effectively, demonstrating a flexible approach, sharing best practice and working with others towards shared goals and objectives to provide an effective and quality service. Genuine enthusiasm for providing a high standard of customer service and an ability to promote a positive attitude within the team. A strong customer focus with the desire and ability to deliver the highest standards of service and work to provide improvements Knowledge of the relevant Health & Safety legislation along with a willingness to build upon current knowledge and experience Understanding of the invoicing and self-receipting process Understanding of working in a Property Environment with a good understanding of the Social Housing Sector and associated compliance requirements Excellent interpersonal skills with a proven ability to build and maintain effective working relationships with internal and external customers. Intermediate to advanced Microsoft Office package skills Excellent written and aural communication skills. The ability to manage a broad work load whilst supporting a number of stakeholders. Excellent attention to detail Competent at implementing systems of frameworks for process monitoring with a level of skill in analysis and interpretation around budgets and planned work servicing schedules.
