Reporting to the Senior Coordinator, Legal and Insurance. To proactively support ONE Europe and Africa (EUA) region on Compliance matters.
Legal and Compliance
- To assist in the management of projects involving ONE Legal team in the EUA region, and to take part in supporting the General Headquarters GHQ Legal team, Singapore.
- To support the team in developing information, materials, and training (inc. e-learning, templates, and tools) to enable staff to comply with, and understand the importance of compliance with laws and regulations relating to antitrust, bribery and corruption, sanctions, and such other spheres as appropriate from time to time.
Primary Job Responsibilities and Measurement
Legal
Under the direction of the Senior Coordinator:
- Provide support within the EUA Legal department on a broad range of compliance issues where / when necessary, seeking guidance of Senior Coordinator and EUA Legal Manager as appropriate.
- Liaising (as may be necessary) with Compliance Officers in respect to the rollout of global and regional initiatives to our region.
- Assist in coordinating resolution of disputes between ONE and third parties together with legal counsel and ONE stakeholder(s).
- Assist with Compliance 'GAP’ Analysis and remedial action to improve the organisation understanding and adherence to ONEs compliance policies.
Administration
- Monitor Compliance e-learning training performance, providing data and analysis to Senior Coordinator and country compliance officers, including proactive measures to improve performance.
- Monitoring adherence to the Meetings & Social Gatherings policy, including pertinent training and where appropriate investigate breaches of policy in cooperation with the Senior Coordinator.
- Maintenance of Dawn Raid Organisation, including updating pertinent Dawn Raid Organisation team members, and associated local legal counsel contact information, including keeping up to date Dawn Raid Toolkit.
- Administration of ONE’s BL Ordering Process including invoice reconciliation and payment, working with ONE’s vendor, Group Joos.
- Facilitating and managing the issuance of Travel Insurance certificates.
Compliance
Sanctions Compliance
- To assist in providing comprehensive support to all business stakeholders in the Sanctions compliance space ensuring ONE exercises all possible due diligence in maintaining its compliance with OFAC, EU and UK sanctions regimes, and as required those sanctions applied by other pertinent bodies, such as the "UN" or "G7", via minimising risks / potential gaps in compliance via training and day-to-day support.
Green Regulatory Space
- Monitoring the Green Regulatory Space.
- Assist in providing updates to RHQ & GHQ on EU Environmental Regulations and Directives for Green Regulation initiatives by the EU, UK and IMO.
Compliance Training
- Assist in ensuring all compliance documentation is accurate, current, and communicated in a timely manner to all relevant parties, and available via a dedicated Google Legal and Insurance Portal.
- Support the facilitation of Annual Compliance Declarat, Conflict of Interest "COI" investigations, Compliance Interviews across EUA Countries / Departments and the annual 'Gifting & Entertainment’ Assessment.
Non-Maritime Contract Review
- On request of pertinent teams, review relevant Contracts.
Support to ONE’s Data Protection Officer
- Assist in supporting ONE GHQ in aspects of compliance with data protection laws as they apply to the Europe and Africa Region, examples GDPR (EEA), DPA (UK), KVKK (Turkey) etc.
Communication
- Facilitate EUA Legal - Compliance use of ONE’s 'Workplace’ space regularly promoting relevant EUA Legal / Compliance topics.
Scope of Role
Location: London. Travel required.
Problems / Challenges faced
- The range and volume of work generated by the above businesses requires clarity of thought and intensity of effort to deliver high quality legal, compliance, risk advice, often to tight deadlines and on complex issues with a number of projects and initiatives running in parallel.
- Position characterised by an extremely diverse workload, derived from a range of functions and entities operating in a diverse regulatory environment, across the ONE EUA organisation.
Skills, Qualifications and Expertise
- A commitment to the legal discipline or maritime business illustrated through formal study and qualifications earned is an advantage.
- A strong appetite to learn, and open mindedness towards, new and unfamiliar challenges.
- High level of written, oral, and presentational communications skills.
- Strong project and time management skills are imperative.
- An understanding of key issues and laws in respect of compliance issues e.g., antitrust/competition law and bribery regulations, is an advantage.
