Job description

An exceptional opportunity awaits to join a professional services organisation, in their esteemed Client Services team. We seek an individual committed to delivering unparalleled reception & client hosting services to your valued clients, both internal and external, in their Birmingham office.

Working Hours: 37.5 hours per week, Monday to Friday, with a flexible shift pattern spanning from 07:30 to 18:00.

Responsibilities:

  • Maintain the immaculate appearance of your Reception area.
  • Efficiently manage your switchboard, adeptly handling calls, transferring them seamlessly, and recording pertinent messages.
  • Extend a warm welcome to all clients and provide assistance as required.
  • Maintain an organised calendar system.
  • Ensure compliance with food safety and hygiene standards in your kitchen area.
  • Support your marketing team in organising events.
  • Coordinate food orders, including breakfast, lunch, and dinner arrangements.
  • Serve as the primary contact for external catering services.
  • Monitor kitchen functionality and promptly report any issues.
  • Execute daily and monthly checklists and audits to uphold operational standards.
  • Oversee stock management and conduct regular inventory assessments.
  • Handle invoice coding and reconciliation procedures.
  • Collaborate with other teams and offices to provide support when necessary.
  • Maintain the professional presentation of our meeting rooms.
  • Facilitate conference call setups efficiently.
  • Assist internal clients with travel and accommodation bookings.
  • Undertake responsibilities as a First Aid and Fire Marshall.

Requirements:

  • Previous experience in reception or hospitality roles is highly desirable.
  • Proficiency in operating a switchboard is advantageous.
  • Exceptional interpersonal skills and a professional demeanour are essential.
  • Demonstrated ability to prioritise tasks and manage time effectively.
  • Flexibility in scheduling and the capacity to perform under pressure are vital attributes.
  • Initiative-driven with a commitment to delivering exceptional service.
  • Familiarity with food safety regulations or related qualifications are beneficial.
  • Previous experience within a professional services environment would be advantageous.
  • Administrative experience would be an asset.
  • Certifications in food safety or hospitality are favourable.
