Scope of position:

Due to continued growth, we have an exciting new role for a Data Management Analyst to be based out of our Support Centre in Swindon, reporting to the Head of Information Management as part of the Group Risk team.

The main purpose of this role is to help transform the business’ current Data Management practices, using expert search tools to identify and follow through where personal or confidential data requires deletion or encryption, working with data champions to organise data filing in a more effective and secure manner going forwards. This will require the successful candidate to understand and analyse existing team structures and business processes, to help structure new filing practices in an appropriate secure manner, in accordance with specified data classification and retention policies. This will involve ongoing liaison across functions and with appropriate stakeholders, including the Information Security team, the DPO and external consultants from Accenture. It will involve delivering necessary insight to WHSmith’s Data Management.

This is a great opportunity to join a rapidly growing business and play a key role in implementing the Information Management strategy and delivering the effectiveness of our data structures and processes. This will entail the ongoing review of business processes, evaluating the data held, and collating core reporting metrics to monitor ongoing progress with compliance with our data privacy, data retention practices, and best practice ways of working.

Working as part of a small team, the role will be responsible for appropriate planning, undertaking fieldwork, drafting reports and getting these agreed with the Head of Function, in order that findings can be summarised within quarterly updates to Business Risk Committees.

What you will be doing

  • Work with business teams to understand how they use data in their processes, from creation to deletion.
  • Use the information gathered from the business areas and Data Sponsors to establish effective ways of working, in line with our retention policies and regulatory guidelines.
  • Oversee the use of data scanning tooling and use the reporting functionality to find and monitor area of high-risk.
  • Develop and manage regular feedback with Data Sponsors across the business.
  • Help develop and maintain reports for management, covering data volumes and progress of engagement activities across the business.
  • Creation of an intelligent dashboard to track improvement in managing and securing of PII across the business
  • Help develop and deliver training materials for using data effectively, in conjunction with other stakeholders and our strategic consultancy partners
  • Help develop guidance in response to Frequently Asked Questions, from the themes arising from technical questions regarding ongoing Data Management, storage platforms and file organisation
  • Help train data sponsors in using these scanning tools to help understand and manage data effectively
  • Work with International teams using data scanning tools and help them to define appropriate practices and data lifecycles

What we are looking for

  • Strong technical analytical ability and data handling experience
  • Retail environment experience is preferable, although not essential
  • Interpersonal skills and the ability to build strong relationships
  • Strong Team player but also the ability to work independently
  • Initiative and Drive
  • Good report writing skills
