You Are:

  • Often told that you are welcoming and approachable... and unafraid to laugh.
  • A natural people-person whether face-to-face, on the phone or by WhatsApp/ SMS.
  • Organised without always being shown how.
  • Neat and logical (probably with a fridge with set spaces for the butter and the cheese!)
  • Unafraid of multi-tasking on multiple computer screens with 6 things happening at once.
  • Able to anticipate the needs of other people by putting yourself in their shoes. You "read the situation" so they're always in their comfort zone.
  • A quick learner, but proactive to ask for confirmation or feedback.

The right person is likely to have worked in a people-facing environment and has a track record of going the extra mile for others. Whether at work, or in their life in general.

Our clients tell us we're a bit like that long-time friend who you could go months without speaking to, yet when you reconnect it feels like no time has passed at all.

Our style is much more 'comfy cafe' than 'going to the dentist'. It's the sort of place where music is playing and there's always laughter. Because we take our dentistry seriously, but definitely not ourselves.

Oh, we're also winners of the Practice of the Year 2022 at the Private Dental Awards. But we're not the sort of people to blow our own trumpet!

Hundreds of clients per year enquire with us because they feel embarrassed about their smile, or they’re nervous about dentistry, or their quality of life is worse because they can’t chew their food properly.

We solve their goals, and provide a lifetime supply of smile confidence and dental health.

Those roles used to be ‘one person’ type jobs, but they are now a seamless journey where you will collaborate with the entire team but never be “scripted”.

The Role:

You will run our team's 10 Minute Meeting to get the day started, and be a key part of co-ordinating the day at the clinic.

You will be managing a busy Front of House, meeting and greeting our clients, scheduling existing clients' visits, handling their enquiries and concerns on by phone and WhatsApp.

You will make people feel welcomed and special... so much so that they can’t wait to tell others about the Smile Stories experience.

Core Tasks:

  • Organise and plan all clinic schedules, so that we're efficient and use of the clinic resources wisely.
  • Successfully manage the client journey, payments, queries and day-to-day flow in the building.
  • Communicate the value of what we do (in person and on the phone), and explain how our results are worth it for how they will feel afterwards.
  • Meet and greet new clients and ensure people show up excited for their visits rather than dreading it. We are proudly 'nothing like your old dentist'.
  • Confidently send emails to clients, navigate our Client Relationship Management software and dental practice software system.

Skills/Competencies Needed:

  • Empathy – be able to hold meaningful conversations with prospective clients on the phone and in person.
  • Insightful and knowledgeable – be able to answer all questions asked on the phone in a such a way that increases the likelihood that the person asking will want to become a new client.
  • Personability – recall names, faces of clients and in doing so making all our clients feel welcomed and remembered to develop long-term relationships.
  • Preparedness – provide a warm and welcoming greeting, make them feel like the centre of our universe.
  • Spelling and Grammar – first impressions count, so if our messaging looks sloppy so does our experience and our clients' results.
  • Prioritisation and organisation – plan for a structured schedule which uses our colleagues’ time productively and efficiently.
  • Reliability – follow through on commitments. Live up to what you’ve agreed regardless of personal cost.
  • Attention to detail - you don't let important details slip through the cracks.
  • Alertness – able to spot potential opportunities or mistakes before they happen.
  • Resourceful – readiness to react, because not everything always goes to plan.
