Title: Project Development and Support Officer
Reports to: Day Services Manager and Chair (SGDEN)
Salary: £23,989 pro rata
Hours: 16 Hours per week (Flexible through negotiation) with core hours
Based: Paul’s Place HQ, South Glos / Remote
Terms: Initially fixed term until 31st March 2025 (extension subject to confirmation of funding). 28 days annual leave entitlement (based on a full- time equivalent)
Background
Founded in 1994, South Gloucestershire Disability Equality Network (SGDEN) is an independent voluntary organisation currently developing work primarily focusing on Disabled People, Health, and Consultation Work.
Building a strong membership based project and funded by South Gloucestershire Council.
The Officer will be employed by Paul’s Place and seconded to the SGDEN.
SGDEN is applying for further funding to expand its services and ensure the sustainability of SGDEN.
SGDEN works with many partner agencies across South Gloucestershire. It also has connections with a range of other statutory and voluntary agencies and forums for whom it receives or provides support.
ROLE PURPOSE
The effective provision of administrative and other support services for South Gloucestershire Disability Equality Network.
Main Duties & Responsibilities
1. Administration and communication
Monitor and circulate information through SGDEN's e-mail account and to post new information on the SGDEN website, ensuring that the website is regularly refreshed and kept up to date, compiling and distributing the SGDEN bulletin and promoting SGDEN and its services via social media.
To co-ordinate and undertake administrative duties relating to SGDEN Committee quarterly meetings: this will include sending out papers and online meeting details, organising the agenda with the Chair and note and minute taking.
To be a point of contact for SGDEN members and partners.
To manage all finances: this includes raising and paying invoices, setting up payments online, updating the payment spreadsheets and overseeing the budget.
Co-ordinating SGDEN committee membership database ensuring that it is kept up to date and meets members’ access needs and sending out relevant information to new and existing members.
Producing a monthly newsletter to be sent out to the mailing list.
To work with the Trustees to organise SGDEN Annual General Meeting in December and run another event in July.
To provide general assistance in updating SGDEN leaflets and stationery.
To oversee and continue to develop the Can’t Wait Scheme.
Attend meetings (quarterly) which currently include the Equalities Voice, Equalities Partnership, Managers Support Group Meetings, SG Mental Health Partnership, and any other relevant meetings in South Gloucestershire.
Complete Quarterly Service Level Agreement reports and submit online to CVS inline with the requirements for our funding. Currently via SharePoint.
2. Services
Organising events including booking venues and equipment, liaising with guest speakers, circulating publicity and taking bookings, note taking, and producing reports.
To identify and report back to the Chair and Members of SGDEN any potential new partnerships and services that may be developed relevant to SGDEN's aims and objectives
To facilitate ongoing consultations with SGDEN members and existing partnerships, relationships and networking connections in the area.
To provide general support to the Chair through mutual discussion and agreement
3 Data Collection
To ensure that data suitable for evaluation is completed and stored appropriately and compliant with legal requirments e.g. GDPR.
To work with external evaluators to produce evidence of SGDEN's effectiveness. To support the Chair to produce the monitoring return for the SGC SLA including providing the report for Members.
4 General
To receive supervision on a bi monthly basis or as otherwise required.
Maintain a welcoming warm and professional manner when communicating with members, colleagues, families, friends and carers of Disabled people,DEN Committee and partners. Ensuring that all those who come into contact with SGDEN have a positive, professional experience.
To be responsible for your health and safety at work, ensuring a safe and accessible environment for users of SGDEN services. This being within an office, meeting and conference environment.
To ensure that all SGDEN policies and procedures are adhered to.
To assist in ensuring that the Equalities, Health and Safety, Safeguarding and Confidentiality polices are implemented and to ensure that records are kept in compliance with the requirements of the Data Protection Acts, General Data Protection Regulations (GDPR) with regard to data security and confidentiality.
Undertake such training as is required to ensure that the post holder undertakes their duties effectively and will promote the individual’s career development.
Any other duties on behalf of SGDEN which can be reasonably and lawfully expected.
