Overview of the role
This is an interesting and varied role which gives the opportunity for the successful candidate to work across a number of different areas of our work to utilise and develop their administrative skills in a number of different projects and pieces throughout the course of the working week, working closely with wider team members to ensure the support provided is seamless, well organised and efficient.
The post-holder will work as part of a small team in a predominantly office based role to provide support to the wider Volition/Forum Central Team, with shared responsibilities to set up and support office management systems and processes.

Key responsibilities:
Team Administration Coordinator for Development Team
- To service a range of both face to face and online meetings – creating and circulating agendas and papers, liaising with guest speakers, sending invites, minute taking, producing minutes, organising refreshments, booking rooms, managing attendance lists, managing feedback.
- To support and carry out the admin requirements for the Development Team Manager and Development Workers for Mental Health, Learning Disability, Physical and Sensory Impairment and COIN (Communities of Interest Network) whilst closely working with the Development Workers for Representation, Men’s Health and Older People.
- To meet regularly with Development Workers to support project work as required, assisting with the planning and facilitation of events and network meetings both on and off site.
Administrative/Project Support
- To support the range of administrative tasks undertaken by team members working across functions within the organisation.
- To work as part of a team, as the initial point of contact for Forum Central; answering the phone, managing inboxes, dealing with enquiries, taking messages.
- To undertake general office duties including filing and photocopying, setting up mailing lists and postage, as well as ordering/purchasing stationery, booking car parking for visitors.
- Assist in managing database management systems, including maintaining up to date membership contacts and mailing preference lists
- Assist with the administration of grant funding applications as well as monitoring and evaluation forms.
- To undertake general office duties as required.
- To contribute to the development of Forum Central administrative and data management processes and systems.
General Duties
- To attend and contribute to team meetings and team away days.
- To undertake regular supervision and training as appropriate.
- To undertake any other duties commensurate with the role.
- To be aware of and follow (employer’s) policies and procedures.
