The role will be to provide support to the Co-Founders and requires someone with passion, ability to work in a fast paced and changing environment, and uphold the mission and values of the firm.
As the EA to the Co-Founders your role will entail:
- Calendar Coordination: Manage complex calendars and schedule meetings with both internal and external parties. Resolve scheduling conflicts swiftly, prioritise issues to ensure effective time management, and communicate calendar changes to executives.
- Inbox Management: Stay on top of incoming emails to the co-founders, flagging important messages, drafting responses, or forwarding messages to relevant team members to ensure timely and effective communication.
- Information Dissemination: Take detailed notes in key meetings, disseminate next steps, and share critical information with relevant stakeholders.
- Travel Arrangements: Arrange detailed travel plans including air, train, hotel, and car bookings, tailored to business needs and personal preferences.
- Expense Management: Submit frequent and detailed expense reports. Oversee the audit process to ensure proper reimbursement.
- Relationship Management: Proactively support executives by owning and tracking communications and interactions with key external stakeholders, strengthening our network.
- Support Internal Activities: Assist with various internal programmes and initiatives, such as organising offsite meetings and other company-sponsored events.
- Versatility: Perform other related duties as requested, adapting to the dynamic needs of our growing startup.
Experience Required:
- Associate’s Degree or an equivalent combination of training and experience.
- 3+ years of administrative support experience, preferably at a professional services or financial firm.
- Outstanding written and verbal communication skills.
- Strong organisational skills, meticulous attention to detail, and time management skills.
- Ability to meet deadlines, prioritise assignments, juggle multiple tasks simultaneously, and handle highly confidential information.
- Highly motivated; self-starter with a strong customer service focus.
- Cooperative team player with strong interpersonal skills.
- Proficiency in Microsoft Windows, Gmail, Word, Excel, and Slack.
- Experience in scheduling travel arrangements domestically/internationally for management staff.
