Exciting opportunity for an Executive Assistant/Project Coordinator to join a global Executive Search firm, supporting 1:1 within their financial services practice.
Salary £57,000 - £60,000 + bonus, 25 days holiday and fantastic benefits package
Hybrid/Flexi working –2- 3 days working in the office
Location – West End. Amazing offices, great culture!
Hours: 9am to 5.30pm Monday to Friday.
Executive Assistant/Project Coordinator role and duties:
This role is fast-paced and busy, assisting the Senior Partner with the project coordination of their search to find high level Financial Board members, CFOs etc for leading global businesses.
- First point of contact for the Senior Partner liaising with their high-profile clients and senior level executive candidates and their extended team (EAs, Hiring Managers, HR).
- Assisting the Senior Partner with the administration process for their searches, keeping every step of the process on track and liaising with clients throughout the search process (written, phone and in person).
- Monitoring the candidate pipeline for each search and adjusting the project plan accordingly..
- Extensive diary management and scheduling, arranging all meetings, MS Teams and/or Zoom call and interviews.
- Creating, editing and formatting all client documents (proposals, job specifications, status documents) ensuring information is correct.
- Preparing and editing pitches and proposals in PowerPoint.
- Liaising with other departments internally.
- Processing expenses for the Senior Partner Assist with billing and client invoicing, tracking receivables.
- Updating the CRM system.
- Producing PowerPoint presentations.
Executive Assistant/Project Coordinator profile:
- Have previously worked as an Executive Assistant or PA or have project coordinator or project management experience.
- Ideally have worked in Executive Search as an Executive Assistant or PA or within financial services.
- Have experience liaising with clients and senior level Executives.
- Be able to work in a fast-paced environment, whilst remaining calm under pressure.
- Have excellent organisational, multi-tasking and prioritising skills with the ability to meet deadlines set.
- Have excellent communication and interpersonal skills, with the confidence to liaise at all levels and build strong working relationships.
- Have strong attention to detail. Be a great team player.
- Discreet with understanding of importance of confidentiality.
- Have a positive, and flexible approach.
- Good MS Office skills – Word, Excel, PowerPoint, Outlook.
