Job description

Job Introduction

We are looking for an experienced Events Planner to join our Rapport team in Bournemouth. Our client is an American multinational financial services firm, and you will play a crucial role in planning, organising, liaising with operational teams and suppliers, as well as facilitating an outstanding attendee engagement for our client and their major corporate leaders, financial sponsors, and institutional investors.

This is a stand-alone role in Bournemouth, reporting directly to the Events Management in London. The successful candidate will plan and execute meeting and event experiences in an agile and innovative way, reflecting a customer-centric and operationally effective approach.

This is a permanent, full-time role (40 hours per week), Monday to Friday on a shift rota basis. In the first weeks, you will need to attend training in London. No regular travel to London required thereafter.

Main Responsibilities

  • Managing reservations, planning and welcome processes to ensure the highest standard of service is provided to internal and external clients
  • Providing a proactive and competent administrative support and planning within the Conference and Client Centres
  • Meeting, greeting, and handling registration of delegates onsite, ensuring the provision of a personalised and high-quality service
  • Assisting with the day-to-day running of meetings and events, and delivering immaculate first-class service by developing and implementing global operating standards and procedures
  • Offering on-site support for all for all planed events, maintaining a “can do” level of service at all times
  • Keeping an active overview on the performance of EMS (room booking system) to ensure adequate resources, hardware and business continuity are provided at all times
  • Conducting regular inspections of the meetings and events space to ensure they are physically maintained to an exceptionally high standard
  • Attending pre/post- conference planning meetings as necessary
  • Liaising with all front-of-house and the operational teams (e.g. reception, catering, facilities) and suppliers to deliver and execute high-end corporate services for all events
  • Taking responsibility for overcoming issues affecting service standards, maintaining an accurate inventory, and reporting any deficits or requirements to the Business and Operations Manager

The ideal candidate will

  • Have excellent communication skills in person, via email or by phone
  • Have the ability to work independently, and create rapport with key stakeholders
  • Display operational effectiveness and ensure all standards are adhered to
  • Be familiar with event space setup styles, with strong knowledge of room booking systems, audio visual systems and computer skills
  • Ideally have at least 1 year of event management and planning experience (e.g. hotels or hospitality venues)
