Reed Recruitment are excited to be working with a private environmental organisation who have a rare opportunity available for an experienced Executive Assistant to join their team!
Location: East Lothian
Salary: £30,000 - £40,000
Hours: 9:00 – 17:30 Monday – Friday Full time (hours can be negotiated)

Below are a few of the responsibilities required:
• Ensuring renewals for all company insurance are carried out on time
• Organising, maintaining, and improving extant ISO systems and processes, as well as preparing and carrying out annual ISO audit
• Managing subsidiary business, Dunbar Storage Solutions, including client contracts, payments, walk-in customers, phone calls, etc
• First point of contact for phone calls for clients
• Coordinating domestic and international logistics (e.g. flights, transfers, accommodation, etc.)
• Organising complex itineraries across numerous time zones for multiple people and projects
• A thorough, high-level understanding (e.g. inputting basic equations, data, database management, maintenance, etc.) of Excel spreadsheets
- Reviewing and renewing contracts (e.g. utilities, administration associated with tender proposals, etc.)
- Maintaining strict confidentiality
- Support with Company recruitment, organising applications and interviews
- Assisting Directors with all aspects of their private British and international estate
- Acting as the Directors’ first point of contact, by phone, email, and post
- Bringing complex tasks to completion autonomously
And who are we looking for?
- An experienced EA who has previously supported senior stake holders
- An interest in marine Consultancy and wildlife conservation
- Supremely IT and tech-savvy, e.g. high-level understanding of Microsoft Outlook email/calendars/Teams, time-zone adaptations, etc.)
- Strong excel skills
- Superlative writing, spelling, grammar and punctuation, verbal, and numeracy skills
- The ability to organise and prioritise tasks and workloads reliably and without prompting
