We are working on behalf of a prestigious organisation, who are seeking to recruit an Executive Assistant or PA with extensive experience of supporting at Executive Board level.
The successful candidate will have proven demonstrable experience as a Senior EA / PA. They will possess outstanding organisational and administrative skills, with strong intellectual confidence with the ability to effectively prioritise and build relationships with internal and external stakeholders. This role does have the support of another EA who will support with day-to-day correspondence and diary management, whilst the Senior EA / PA will take lead on complex correspondence and organising high level meetings with external stakeholders. You would act as a conduit between the leadership team, internal and external stakeholders.
This role is office based 4 days a week, with 1 day a week working from home to ensure the Board receive a dedicated EA / PA service.
This role is a fixed term maternity contract starting in mid May 2024, with scheduled interviews to be held in mid April 2024. The fixed term contract will be from May 2024 until June 2025.
Role and responsibilities:
- As the Senior Executive Assistant / PA you would provide a dedicated administrative service to a C-Suite level Executive with a broad range of activities and acting as conduit between a variety of stakeholders and senior leadership team
- Provide an effective and proactive approach to managing inboxes and organising a complex and challenging diary with a range of internal and high-profile external commitments, prioritising and planning the diary at least 12 months in advance.
- Accurate and timely production of documents, presentations and briefings, including undertaking desk research and sourcing, interpreting, and appropriately responding to information from internal and external stakeholders.
- Proactive preparation and collation of high-quality meeting-related papers
- Provision of high-quality committee support including taking clear and concise minutes and ensuring that any action points are followed up in a timely manner
- Responsible for planning and arranging complex UK and international travel
- Respond to a wide range of complex enquiries independently, demonstrating excellent judgement
- Assist with planning and arranging events, and organising high-profile visits
- Regularly updating the Executive board on activities within the organisation and provide up to date information from the appropriate sources.
- Supporting the wider EA and PA network across the organisation as required
- Some line management responsibility for the Executive Assistant and allocating workload
Skills and experience required:
- Educated to degree level or equivalent
- Proven and demonstrable experience working as an EA / PA at Board level
- Demonstrable experience of working within large scale, highly complex environments to include managing multiple senior internal and external stakeholders
- Outstanding organisational skills
- High levels of attention to detail to produce high quality work
- Resourceful with intellectual confidence
- Effective relationship builder and communicator
- Collaborative, enthusiastic and self motivated
