Our client, a Business Membership Body, requires an Executive Assistant to be responsible for day-to-day support for the SLT (Strategic Leadership Team) which includes the CEO and Executive Directors and is the first point of contact for the senior team.
Responsibilities of the Executive Assistant
Manage extensive and complex diaries, coordinating high level meetings internal and externally First point of contact fielding and responding to queries, dealing with day-to-day requests Formatting and circulating confidential information for senior meetings Organisation of internal communications on behalf of SLT Manage correspondence & communications with stakeholders and staff Building strong relationships with stakeholders and act as a gatekeeper and first point of contact Secretarial support for meetings as and when required Organising travel and logistics including flights, hotel accommodation and intense itineraries for SLT Managing and organising events, dinners, drinks and lunches Working closely with internal events team preparing and sending guest lists/invitations from CEO Preparing reconciliations for SLT’s credit cards and expenses Updating the CRM system – including contact details for Board, Council and Committee members Dealing with daily ad hoc requests efficiently Providing accurate and timely administration of board meetings Desired qualities and attributes
Strong Executive Assistant/Personal Assistant at C-Suite level is essential Ability to prioritise workload on daily, weekly monthly and longer-term basis. Secretariat support and Minute taking High degree of multi-tasking, organisation and time management capability Excellent verbal and written communications skills, able to liaise with people at all levels Strong attention to detail Ability to act on own initiative and seek solutions Able to work calmly under pressure in a fast-paced environment Good team player with a flexible approach Proficiency in MS Office and online meeting platforms Strong interpersonal skills and customer service Discretion, confidentiality and diplomacy Integrity, politeness and professionalism Able to gain and maintain trust from Senior Business people Willingness to suggest improvements to systems to support the team Due to the large number of applications that we receive, only shortlisted candidates will be contacted.
