Executive Assistant

Location: Bristol, UK. This position is based at our Bristol office (minimum 3 days a week)

The Role:
We are in search of a highly organised Executive Assistant to provide comprehensive administrative support to our executive team. You will play a crucial role in facilitating smooth operations and maintaining effective communication within the organisation.
You will work closely with senior executives, handle sensitive information, manage complex schedules, and prioritise tasks to ensure the executive team's efficiency and productivity.
Key Responsibilities:
- Calendar and Schedule Management:
- Coordinate and manage busy calendars, including scheduling appointments, meetings, and conferences
- Arrange travel accommodations, itineraries, and logistics for business trips and events
- Pro-actively identify and resolve scheduling conflicts or issues to optimise executives time
- Communication and Correspondence:
- Act as a point of contact for internal and external stakeholders, ensuring effective communication
- Meeting Coordination and Support:
- Organise and prepare materials provided to Programme Managers
- Coordinate logistics for meetings, including room bookings, audio equipment, and catering if needed
- Attend meetings, take notes, and follow up on action items and decisions
- Information Management:
- Manage confidential and sensitive information with utmost discretion and maintain data privacy
- Maintain an organised filing system for both physical and electronic documents
- Administrative Support:
- Prioritise and handle multiple tasks simultaneously, ensuring deadlines are met.
- Coordinate and support special projects and initiatives led by the executive team
- Process expenses, maintain budget, and have copies of invoices for the department
Required Skills:
- Proven experience as an Executive Assistant or similar role supporting high-level executives
- Excellent organisational and time management skills with the ability to multi-task and prioritise effectively
- Strong communication and interpersonal skills to interact professionally with internal and external stakeholders
- Exceptional attention to detail and accuracy in all tasks
- Proficient computer skills, including advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong problem-solving skills and ability to work independently with minimal supervision
- Flexible and adaptable with the capacity to handle changing priorities and work under pressure

The Logistics Commodities & Transformation (LCST) Programme for the UK Ministry of Defence is a critical effort to enhance and improve the UK's defence supply chain. The programme provides essential services such as storage and distribution for the MOD's materiel, including a global freight service and the procurement and inventory management of 70,000 commodity NATO Stock Number (NSNs).
