We are seeking an Executive Assistant who is adept at managing complex diary schedules and possesses strong organisational skills. The ideal candidate will be proactive, able to adapt to change, and ensure effective communication of updates and changes. This role involves ownership of document preparation for leadership meetings, including drafting agendas, taking minutes, and maintaining an action tracking system.
Day to day of the role:- Manage complex diary schedules in alignment with priorities and needs, being reactive to change.
- Ensure updates and changes to schedules are effectively communicated.
- Take ownership of document preparation for leadership meetings, including drafting agendas and taking minutes.
- Organise appointments in line with priorities, ensuring the right information is available at the right time.
- Manage and coordinate internal communication schedules.
- Plan and manage the annual calendar of meetings and events.
- Maintain excellent levels of inbox organisation and maintenance.
- Undertake project work, research issues, prepare information, and create briefings and presentations.
- Exercise strong discretion and judgment on handling enquiries, providing excellent service, and acting confidentially at all times.
- Strong communication skills with the ability to communicate effectively at all levels and build good workplace relationships.
- Proficiency in MS Office (PowerPoint, Excel, Word).
- Ability to maintain confidentiality and apply discretion, ensuring best practice guidance is followed.
- Excellent organisational skills, including time management and prioritisation.
- Creative and forward-thinking, championing new ideas and process improvements.
- Ability to work flexibly and independently to tight deadlines.
