Your new companyYou will be joining an organisation in the Healthcare industry for an Executive Assistant role, to start immediately on a temporary basis until summer 2024. The role requires 2 days working in the office and the rest from home. A part-time working approach will also be considered. Your new roleYou will work as part of a small team that provides effective support to the Board (both Executive Directors and Non-Executive Directors), and administration support for Committees, Sub-groups and the SLT, whilst supporting and liaising with a wide range of Senior Staff and Managers both internally and externally. Key duties include:
- Stakeholder management and diary management
- Full responsibility for meeting management
- Minute taking
- Proactive action tracking
- Follow-up actions at meetings
- Maintenance of the electronic filing system
What you'll need to succeedKey skills needed are:
- Able to demonstrate experience of providing secretarial and administration support for Senior Executives
- Experience with supporting board and committees or similar senior level meetings, including organising meetings (virtual and face to face), including the drafting of agendas
- Experience of taking accurate and concise minutes of a complex nature at speed
- Demonstrate a high level of literacy, attention to detail and accuracy with the ability to draft documents which are user-friendly and to proof-read
- Excellent IT skills, particularly Word (touch typing of wpm for minuting and drafting), Excel, PowerPoint and Outlook
- Familiarity with Microsoft Teams, Sharepoint and N365 and willingness to learn
- Maintaining accurate electronic records systems, capable of information retrieval, analysis and dissemination to relevant parties
- A proactive and professional nature is key.
