Facilities Assistant
Integral Role in Facilities Management
Are you ready to play a pivotal role in maintaining the seamless operation of facilities across various UK locations? This position requires a high level of autonomy in managing day-to-day tasks while ensuring exceptional quality standards.
Key Responsibilities:
- Perform in-house Planned Preventative Maintenance (PPM) tasks for various equipment, including generators, compressors, air conditioning systems, and air quality systems.
- Conduct monthly safety checks, covering fire extinguishers, emergency lights, exits, call points, water temperatures, first aid supplies, ladders, site safety, and security inspections.
- Maintain the Facilities Service Request Log, collaborating with department managers to execute DIY tasks efficiently.
- Coordinate with the Facilities & Security Team Leader to manage contractors for larger requests.
- Assist with maintenance activities under the guidance of the Facilities & Security Team Leader, including repairs, fixture maintenance, painting, decoration, and more.
- Ensure all tasks are performed safely and efficiently, providing regular feedback to the Facilities & Security Team Leader.
- Monitor the contractor calendar, supervise visiting contractors, and ensure they follow safety protocols.
- Order necessary parts and equipment through our purchasing system.
- Conduct monthly meter readings and manage waste collection and resolution of related issues.
- Undertake larger facilities projects, working alongside the Facilities & Security Team Leader, department Managers, and contractors to ensure successful execution.
- Respond to emergencies to ensure safety and resolve issues such as plumbing problems, water leaks, power outages, etc., including arranging emergency contractor attendance if needed.
- Adhere to the Company’s Environmental, Health and Safety Management Systems.
- Be part of the Business Continuity Emergency Response Team.
Skills, Knowledge & Experience:
- Ability to build effective relationships with colleagues and external contractors.
- Strong IT skills, proficient in MS Office applications.
- Professional and pragmatic decision-making, even under pressure.
- Competence in performing minor DIY tasks safely and diligently.
- Good knowledge of facilities systems, including plumbing and electrical work.
- Significant experience or qualifications related to electrical work is highly advantageous.
- Understanding of the importance of Health and Safety.
- Experience in managing small building projects, with admin support provided.
- Proficiency in using hand tools and equipment safely and responsibly.
- Physically fit for tasks involving lifting, working at heights, and movement.
- Valid driving license and vehicle required for site travel.
