Our client, a boutique Facilities Management Organisation are looking for a Facilities Coordinator to join their team based a large corporate office in Central Leeds.
The main responsibilities will be to provide an exceptional client experience through the delivery of the position holders main duties. The admin role is very client interactive and therefore needs the position holder to be able to provide great customer service, high standards in operational delivery and ability to understand what is needed to ensure the client requirements are met.
Core Responsibilities:
- Compiling and preparing the TU Monthly Board Report, Prepare the SLA Report Quarterly property reports and chase relevant departments for information required.
- In the absence of the FM, raise PO's, close jobs on QFM (CAFAM system), update PPM planners, arrange cover where required, arrange callouts.
- Raising of Purchase Orders when required (if Procurement are not able to) and logging in the relevant spreadsheet. Chasing outstanding POs from Procurement and any approvals daily basis and making sure the spreadsheet is up to date
- Carrying out a cleaning audit when required with the Cleaning Supervisor and making sure standards are being delivered.
- Cover tasks of the Office Administrator in their absence i.e posts, ordering of stationery, greeting customers and dealing with deliveries.
- Cover Facilities Manager when absent by managing and motivating the team ensuring all tasks are completed on a daily basis in a professional and competent manner
- Attend meetings as and when required, take notes and distribute accordingly
- Make sure all PPM for the team is carried out, paperwork completed and Engineer when on site has a list of jobs to do and close off accordingly
- Dealing with all parking queries and update sheet accordingly
- Carry out all admin duties as and when required
- Carry out Inductions for New Starters
The ideal candidate will be an experienced Facilities Coordinator or Assistant with experience within a office environment. You will have experience of supervising a facilities team and you will hold strong customer service skills.
In return, our client is offering a salary of £25,600 per annum plus a generous benefits package.
