Birmingham City University is a large and diverse place to study right in the heart of the city. The Directorate of Student and Academic Services is currently recruiting for the role of Operations Assistant, to join our newly established Faculty Student Centres.
About the role:
Reporting to Faculty Operations Co-ordinators, the role will work with colleagues in the Faculty Student Centres to provide a high-quality service to staff and students. As well as providing support in purchasing, event booking and trip organisation, the successful candidate will also support our Faculty Student Centres in offering a welcoming presence for students. Working collaboratively with other roles, they will support our Welcome Desk on a rotational basis, triaging student and staff queries to offer a "right first-time" service.
As an Faculty Operations Assistant, you will be required to:
- Maintain awareness of the University's financial guidelines and processes
- Monitor and coordinate budgets
- Provide reports and updates to budget holders as required
- Undertake all aspects of procurement for relevant college and faculty
- Act as a purchase card holder for the faculty
- Assist with the end-of-year process
- Work with Faculty Student Centre colleagues to provide student and staff support on the Welcome Desk
- Act as a central point of contact for Visiting Lecturer engagements, following agreed processes and adhering to policy
- Maintain accurate and confidential records
- Manage and oversee the provision of event support for the faculty
- Undertake event organisation, including risk assessment, for student trips and other associated activity
The successful applicant will demonstrate:
- Excellent attention to detail and accuracy in all aspects of work
- Strong organisational skills with experience of working accurately under pressure, managing and prioritising a diverse workload and meeting deadlines
- High level of IT skills, including MS Word and Excel with an ability to manage a large amount of data accurately and build spreadsheets
- Ability to work well within a team, enabling work to be delivered efficiently and in a timely manner
- Adaptable and self-motivated with excellent time management and evidence of initiative, responsibility, self-motivation, and a professional attitude
- Excellent communication skills, with the ability to produce high-quality written communications including reports.
