Purpose of the role
Oversee all elements of maintaining our office facilities to ensure smooth running of our new HQ site, with a main focus on processing transactions and invoices in the Accounts Payable function of ASC Plc and group companies.
Key Responsibilities
Internal AP Administration – 60%
- Process AP invoices (matching to POs and goods receipt notes as appropriate).
- Processing credit notes.
- Ensure supplier invoices and expenses are fully authorised ready for the payment runs
- Reconcile supplier statements and request copy invoices.
- Assist AP supervisor in preparing and processing payment runs.
Office Facilities Administration – 40%
- Support Executive Assistant in arranging travel, accommodation and appropriate meeting preparation
- Oversees catering for company events within the office
- Facilities management of HQ office
- Ensure office is kept stocked with sufficient stationary and kitchen goods
- Coordinate incoming and outgoing mail and parcels
- Maintaining key logs, security passes and asset register
- Administrator of staff mobile phones
- Manage cleaning contract for office
- Manage reception area including welcoming and registering visitors
- Health and Safety support
